As an Executive Assistant, you will:  

  • Handle highly complex matters of an urgent nature affecting the Office of Inspector General and its overall mission.
  • Maintain the calendars for the Inspector General and Deputy Inspector General.
  • Perform all of the administrative duties for the DIG, and the Chief of Staff’s employees which include the WebTA and purchasing.
  • Assist in processing and tracking Freedom of Information Act (FOIA) requests.
  • Review incoming correspondence, determine necessary action, route and track items, and follow up on requests that can be handled personally.

These are the duties of this position at the GS-12. If you are selected at a lower grade level, you will have the opportunity to learn to perform all these duties, and will receive training to help you grow in this position.

Qualifications

You must meet the following requirements within 30 days of the closing date of this announcement.

Specialized experience:  For the GS-12, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-11 grade level in the Federal service. Specialized experience for this position includes: performing administrative support for an executive office in addition to explaining and training staff on administrative processes.  Examples of this experience may include:

  • Preparing materials for formal presentations and coordinating activities for formal presentation as well as providing formal presentations; OR
  • Maintaining records and accounts for capital equipment; OR
  • Monitoring inventories and disposing excess property. 

For the GS-11, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-09 grade level in the Federal service. Specialized experience for this position includes: performing administrative support for an executive office.  Examples of this experience may include:

  • Processing time and attendance and conducting leave audits; OR
  • Preparing materials for formal presentations and coordinating activities for formal presentation; OR
  • Placing purchase card orders and reconciling purchases for a variety of goods and services.

OR

3 years of progressively higher level graduate education leading to a Ph.D. degree or Ph.D. or equivalent doctoral degree. Attach a copy of transcript or list of college courses designating semester or quarter hours earned to ensure proper credit.

OR

You may qualify on a combination of education and experience. To combine education and experience, the total percentage of experience at the required grade level compared to the requirement, as well as the percentage of completed education compared to the requirement must equal at least 100 percent. Only graduate level education in excess of the first 36 semester hours (54 quarter hours) may be combined to be considered for qualifying education. 

Time-in-Grade:
In addition to the above requirements, you must meet the following time-in-grade requirement, if applicable:
For the GS-12, you must have been at the GS-11 level for 52 weeks.

For the GS-11, you must have been at the GS-09 level for 52 weeks.

Time After Competitive Appointment:
Candidates who are current Federal employees serving on a non-temporary competitive appointment must have served at least three months in that appointment.

CONDITIONS OF EMPLOYMENT
- A one year probationary period may be required.
- Must successfully complete a background investigation.
