Summary

The Administrative Support Assistant preforms administrative duties associated with maintaining and supporting the Ft. Yuma Facilities, Biomedical Engineering and Security Departments. Includes tasks ranging from correspondence and information control, to timekeeping, acquisitions, and training/travel coordination. This position is located at the Fort Yuma Health Care Center in Winterhaven, CA. The incumbent will report to the Supervisory General Engineer.

Help

  • Serves as the primary administrative support position and is regarded as an expert source of information on processing transactions for administrative and management support functions including personnel, procurement, budget and acquisition tracking and planning and general office management.
  • Receives, assesses, routes, or otherwise handles incoming and outgoing materials related to correspondence, reports, memoranda, and other forms of written communication.
  • Prepares, coordinates, and completes arrangements for department employee travel and training. Incumbent gathers travel information and insures travel authorizations are processed in a timely manner.
  • Functions as the timekeeper for the department. Responsible for conducting timekeeping audits of ITAS and recommends and renders advice and assistance for resolution of problems. Investigates/reconciles audit discrepancies between ITAS/ANSOS/DFAS as needed or requested.

This is a designated position covered by Public Law 101-630, requiring contact or control over Indian children. Security Clearance: If you are selected for this vacancy, you must undergo a pre-employment fingerprint check and background investigation. Qualifications

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

For positions requiring positive education requirements, or if you are using education to meet all or part of the qualification requirements, you MUST submit a copy of your transcripts or an itemized list of college courses which includes equivalent information from the transcript (course title, semester/quarter hours, and grade/degree earned) in your resume.

MINIMUM QUALIFICATIONS, GS-0303-06:
Your resume must demonstrate at least (1) year of specialized experience equivalent to the GS-05 grade level in the Federal Service. Examples of Specialized Experience include: Advanced knowledge of two or more administrative processes such as scheduling for upper management using electronic calendars;respond to complaints from the public; compile information from a variety of sources to prepare reports; prepare and submit supply requisitions according to established rules.

MINIMUM QUALIFICATIONS, GS-0303-07:
Your resume must demonstrate at least (1) year of specialized experience equivalent to the GS-06 grade level in the Federal Service. Examples of Specialized Experience include: Taking minutes for executive staff, team leaders and governing body and following up or tracking the action items; answering questions concerning policies and procedures; and acting in a confidential capacity with respect to daily activities of the office.

You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).

Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. IHS may offer newly-appointed Federal employees credit for their directly related previous non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave is earned.

This position is covered by a Bargaining Unit.

This position has promotion potential to the GS-07 grade level. Promotion to the next grade level is at management's discretion and is based on your demonstrated ability to perform the higher level duties, the continuing need for the higher level duties, and "Regulatory/Administrative" approval. Promotion to the next higher grade level is not guaranteed and no promise of promotion is implied.
