WHAT DOES A SECRETARY DO? IRS Secretaries work in every Business Unit and provide a wide range of administrative and secretarial services within an organization. This may include using a variety of computer applications, organizing and maintaining files, providing telephone and receptionist services, arranging conferences and meetings, typing and reviewing correspondence and meeting minutes, arranging travel itineraries, and briefing the manager on important issues.  

As a Secretary you will:

  • Receive telephone calls, provide information, answer questions and direct calls and visitors to appropriate official.
  • Conduct a thorough review of all correspondence, determine deadlines and offer suggestions concerning actions to be taken.
  • Prepare and type a variety of reports, forms, requisitions, and legal documents using word processor or personal computer.
  • Organize and maintain files, records, manuals, handbooks, and other related materials.
  • Plan conferences and coordinate the development of its agenda.
  • Consolidate comments from management officials, and summarizes material for conferences. 

If you are selected at a lower grade level, you will have the opportunity to learn to perform all these duties, and will receive training to help you grow in this position.

PROFICIENCY REQUIREMENT (OFFICE AUTOMATION):  In addition to meeting experience or education requirements, applicants must be able to demonstrate the ability to type 40 words per minute.  Applicants may be asked to participate in a typing/performance test, provide a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or self-certifying their proficiency (which may be verified at a later step in the process). Performance test results and certificates of proficiency are acceptable for 3 years.

Qualifications

You must meet the following requirements by the closing date of this announcement. 

GS-05 LEVEL: You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-04 grade level in the Federal service. Specialized experience for this position includes: providing telephone and receptionist services; Maintaining records; Requisitioning office supplies; Filing material and maintaining office filing system; Receiving and controlling incoming and outgoing correspondence and reports for format, grammar, and punctuation; Writing simple or repetitive, non technical correspondence such as letters of acknowledgment; Scheduling appointments and preparing notes regarding topics to be discussed. OR
You may substitute education for general experience as follows: A Bachelors degree or four (4) years of education above high school in any field of study from an accredited college or university. OR
You may qualify by a combination of experience and education. Options for qualifying based on a combination will be identified in the online questions.

GS-06 LEVEL:You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-05 grade level in the Federal service. Specialized experience for this position includes: receiving calls and visitors and directing them to appropriate person or subordinate office; Preparing a variety of correspondence, reports, forms, requisitions, requests for personnel actions and legal documents; Reviewing documentation for proper format, conformance with procedural instructions, grammar, punctuation, and spelling; Organizing and maintaining files and records, manuals, handbooks, and other related materials; Scheduling appointments and assembling background material; Providing basic coordination and pertinent information on office functions.

GS-07 LEVEL:You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-06 grade level in the Federal service. Specialized experience for this position includes: screening and answering telephone calls and determining which require personal attention; Establishing, organizing, and maintaining files of correspondence, manuals, and other related information; Reviewing correspondence and reports for proper format, grammar, punctuation, and mathematical correctness; Scheduling and shifting appointments based on commitments; Gathering and assembling necessary supporting documentation for reports; Providing advice, assistance and training to clerical support positions; Scheduling engagements and background material and preparing notes regarding topics to be discussed.

-The experience may have been gained in the public sector, private sector or Volunteer Service. One year of experience refers to full-time work; part-time work is considered on a prorated basis.

In addition to the above requirements, you must meet the following, if applicable:  You must have been at the next lower grade level of the grade you are applying to for 52 weeks (time-in-grade requirement).

CONDITIONS OF EMPLOYMENT
