The individual selected for this position will:

  • Develop and maintain correspondence, manage the control system for the Division Chief's signature.
  • Schedule meetings, maintain calendars
  • Ensure phone coverage for office.
  • Prepare T&A records and oversee the timekeepers in the division. 
  • Provide Office Automation expertise to modernize, automate, and consolidate office organization.

Qualifications

Minimum Education Requirement: To be minimally qualified for this position, applicants MUST have a typing proficiency of at least 40 words per minute with three or fewer errors based on a five-minute sample. 

In addition to the above requirements, you must also meet the following requirements.


Specialized Experience:

For the GS-07, you must have one year of experience at a level of difficulty and responsibility equivalent to the GS-06 in the Federal service. Specialized Experience for this position includes: having assisted in the preparation of administrative documents, such as budget planning documents, procurement requests (e.g. requests for phone and equipment service/repair), and maintained personal property control and inventory of office supplies, and equipment; reviewed and maintained time and attendance reports and notified timekeepers of problems/discrepancies to be resolved; received/distributed mail; maintained and updated operating procedures and manuals; maintained employee records; reviewed travel orders and vouchers; scheduled meetings; developed and maintained an office tracking system; and proofread, edit, and prepared correspondence.

Education cannot be substituted for experience at this grade level.

For the GS-08, you must have one year of experience at a level of difficulty and responsibility equivalent to the GS-07 in the Federal service. Specialized Experience for this position includes: work experience having updated and maintained automated systems; assisted with the preparation and planning of projects; researched information for assigned projects; assisted in the preparation of policy and procedures; scheduled meetings; developed and maintained an office tracking system; assisted in the preparation of administrative documents, such as budget planning documents, procurement requests (e.g. requests for phone and equipment service/repair), maintained personal property control and inventory of office supplies and equipment; receiving, tracking, and responding to facilities complaints; reviewed and maintained time and attendance reports and notified timekeepers of problems/discrepancies to be resolved; received/distributed mail; maintained and updated operating procedures and manuals; maintained employee records; reviewed travel orders and vouchers; and proofread, edited and prepared correspondence.

Education cannot be substituted for experience at this grade level.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

You will be evaluated for this job based on how well you meet the qualifications above.

  • Knowledge of office programs sufficient to screen requests for information, personally provide information from records, advise on procedures, and refer requests to appropriate staff member.
  • Knowledge of time and attendance procedures, and travel regulations procedures.
  • Knowledge of filing systems, office procedures, and internal reference manual.
