Duties

Help

The incumbent will serve as Administrative Office Assistant to the Division Office of Facilities Maintenance Division. Provides secretarial and administrative tasks utilizing various administrative systems to support the Division. Applies knowledge of rules, regulations, policies and procedures to complete tasks required for the effective operation of the division. Assists in preparing all training and domestic travel documents, ensuring the establishment and maintenance of all necessary databases and files for training and travel requests. Assist in
answer division phones and refer callers to the appropriate staff member. On occasion, make arrangements for conferences and meetings, ensuring attendees are notified, materials are prepared in a timely manner and all necessary equipment is reserved. Serves as timekeeper for the Division and groups within the Division using a web-based time and attendance system, and will use a work order tracking system to key in labor. Prepares shop order packages, prepares procurement packages, forms using an automated forms system and route documents according to established procedures. Monitors and tracks data for Division to respond to inquiries in a timely manner. Schedules appointments and conference rooms using automated calendar system shared amongst administrative staff and schedules Division reoccurring meetings on Senior Managers calendars when requested. Must be able to type 40 WPM.

Qualifications

ZS-III:

Applicants must possess one year (52 weeks) of specialized experience at the GS-4 level (ZS-II for NIST). Specialized experience is defined as experience administering time and attendance, receiving visitors and incoming calls, reviewing documents, reports and correspondence and utilizing automated systems.

4 years of education above high school

OR

A combination of education and experience

ZS-IV:

Applicants must possess one year (52 weeks) of specialized experience at the GS-6 level (ZS-III for NIST). Specialized experience is defined as experience administering time and attendance, reviewing and maintaining documents, utilizing automated systems, processing procurement requests, and scheduling business travel and conference arrangements.

 
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

This position allows you to qualify and be considered based on your education. You will be evaluated for this job based on how well you meet the qualifications above.
