Duties

Help

The incumbent serves as an Administrative Support Assistant for the District Office and provides principle clerical, administrative, and staff assistant support to the District Office's staff members. The duties include but are not limited to the following:

  • - Assisting with the development and formulation of office(s) budget for multiple accounts with various sub-activities and/or funding sources.
  • - Monitoring and tracking obligations and expenditures throughout the budget execution phase.
  • - Reviewing data provided by supervisors and managers and consolidating information into summaries and/or reports.
  • - Identifying recurring budgetary issues, problems, or conditions; and seeking solutions based on application of relevant rules, regulations, and procedures.
  • - Extracting information from the automated system and processing transactions.
  • - Maintaining and reviewing financial documents in order to process transactions in the automated financial system.
  • - Serving as collections officer. Preparing appropriate records; depositing monies in strict accordance with Department of Treasury instruction; reconciling accounts receivable, aging analysis reports, and suspense and unearned accounts; transferring funds from one  account to another; processing refunds and tracking the status of trespass register and contributed funds.
  • - Providing administrative support in micro-purchasing, travel, mail and file, forms inventory and maintenance, timekeeping/payroll, and records management.
  • - Preparing, editing, and finalizing correspondence, and disseminating to appropriate personnel and tracking and maintaining records on issued correspondence. Ensuring that Instruction Memorandums and Information Bulletins are properly distributed to the      appropriate personnel.
  • - Providing general information concerning office operations to the public both orally and in writing. Contacts may occur through telephone, email, and in person. Responding to inquiries directly or referring individual to the appropriate staff member. 

The work is typically sedentary. Some work may require periods of walking, standing, bending, or driving a motor vehicle. May frequently lift relatively light boxes, materials, and supplies and/or carry file folders, copied materials, books, and other similar materials. Work is typically located in an adequately lighted, heated, and ventilated office environment.

Qualifications

For GS-05:One year of specialized experience equivalent to the GS-04 level in the Federal service. Work consists of performing a full range of standard clerical assignments and resolving recurring problems. Work consists of related steps, processes, or methods. Examples include: performing administrative duties in support of the daily mission of an organization such as managing meeting schedules, reviewing incoming and outgoing mail, responding to routine inquiries from staff and customers, proofreading and finalizing correspondences, assist with tracking of budgetary obligations and expenditures; maintaining a file plan, or inputting, tracking or gathering data/information from various automated and non-automated systems. - OR - Successful completion of a 4 years of education above high school level.

Equivalent combinations of post-high school education and specialized experience may be used to meet total qualification requirements for the GS-05 level.

For GS-06: One year of specialized experience equivalent to the GS-05 level in the Federal service. Work includes service as a clerical or administrative assistant, or related position, which consists of performing a full range of standard and non-standard administrative assignments and resolving a variety of routine issues in assigned program areas.  Examples include performing recurring or standardized budgetary transactions in an automated financial system and maintaining budget documents and files; purchasing supplies, maintaining receipts, and assisting employees with purchase requests; serving in a collections capacity and reconciling accounts receivable; responding to requests for information using discretion and tact and being mindful of sensitive and confidential issues; performing local application database support such as resetting passwords and providing assistance to users; locating, assembling and composing information for various reports, inquiries, and non-technical correspondence; and reviewing documents and reports for completeness and entering information into an automated tracking system. There is no substitution of education for experience at the GS-06 level. 

Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, this experience must have been equivalent in difficulty and complexity to the next lower grade of the position to be filled.

  • Appointment is subject to meeting one-year probationary requirements.
  • RELOCATION EXPENSES: Travel, transportation and relocation expenses will not be paid by the Department of the Interior. Any travel, transportation and relocation expenses associated with reporting for duty in this position will be the responsibility of the employee.

  • - Knowledge of policies, procedures, and practices regarding correspondence in order to prepare, edit, and finalize correspondence for office supervisors and managers.
  • - Ability to communicate effectively orally and in writing in order to present information in easy to understand formats that increase understanding of Bureau programs, policies, and objectives.
