Duties

Help

As a Program Support Assistant (Office Automation), you will:

  • Serve as the principle coordinator and contact point for the Department.
  • Maintain control and administrative correspondence and action documents.
  • Perform receptionist duties and is the Department’s time keeper.
  • Maintains and updates Department Head’s calendar.
  • Performs secretarial and administrative duties while maintaining the files for the Department, screens and refers phone calls.
  • Answers non-technical questions posed via phone or in person. Reviews and proofread correspondence for grammar, consistency, clarity and format. Works with others inside and outside the organization to arrange meetings, conferences, travel, etc.

IDEAL CANDIDATE: The ideal candidate will provide broad administrative and creative support to a large office staff, department head, and senior level officials.

CONDITIONS OF EMPLOYMENT:

  • SELECTIVE SERVICE: Males born after 12/31/1959 must be registered for the Selective Service.
  • PROBATIONARY PERIOD: You must complete a one-year probationary period (unless already completed).
  • TIME-IN-GRADE: - Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions contained in 5 CFR 300, Subpart F.

Qualifications

To meet the minimum qualifications for this position, you must meet the specialized experience qualifications for the grade at which you are requesting consideration.

To qualify for the GS-06 on Experience, you must have at least one year of specialized experience equal or equivalent to the GS-05 grade level in the following:

  • Experience by working in an office setting assisting staff with routine problems and issues; maintaining records and files; providing administrative document management support; and providing the full range of secretarial duties (i.e. travel, timekeeping, completing forms, receiving phone calls, greeting visitors, etc.).

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social).  Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.  You will receive credit for all qualifying experience, including volunteer experience.

Students enrolled in a qualifying degree program can apply if the anticipated graduation date is within six months of closing date of the announcement. Graduation transcript must be received before start date.
