Help

As the Secretary (Office Automation) in this position, you will:

  • Receive telephone calls and greet visitors, including ascertaining the nature of the calls or visits.
  • Provide administrative and readily operational information to callers and visitors upon determination of their needs and their right to requested information.
  • Present administrative and program information to authorized personnel regarding programs and projects.
  • Maintain control records on items requiring action and follow up to ensure timely response.
  • Make necessary arrangements for meetings, such as location, time, contacting participants and ensuring all required materials and services are provided.
  • Employ word processing, database, spreadsheet, and graphics software to retain and track critical program information.
  • Ensure the accuracy of written material, including format and all aspects of grammar, form, arrangement and style.

Qualifications

In order to qualify, you must meet experience requirements described below. Your resume must clearly describe your relevant experience. If qualifying based on education, a copy of your unofficial transcripts must be provided with your application.

You must have at least one full year of specialized experience performing secretarial, office and program support duties. This must include activities such as: (1) receiving visitors and screening telephone calls, referring calls and visitors to the appropriate staff members; (2) establishing and maintaining control records on items requiring action and follow up to ensue timely response; (3) proofreading memos or correspondence to ensure documents are error free (spelling, grammar and incorrect punctuation); and (4) using Microsoft Office programs (Word, Excel, PowerPoint and Outlook) to schedule meetings, import graphics, charts, or special symbols, edit and format documents, etc. This experience must be comparable in scope and responsibility to the GS-06 level in the Federal service (obtained either in private or public sectors).

Typing Proficiency Requirements: In addition to meeting the experience requirements, applicants must include a certificate of proficiency or self-certify that they can type at least 40 words per minute. Your resume must support your self-certification of your typing ability. Otherwise you may not meet the minimum qualifications requirements for this position.


In addition, you must provide a cover letter describing your experience with the competencies identified below:

Administrative Support: Provides general office support; updates and maintains records.

Database Management Systems: Knowledge of the principles, procedures, and tools of data management, such as modeling techniques, data backup, data recovery, data dictionaries, data warehousing, data mining, data disposal, and data standardization processes.

Customer Service: Works and communicates with clients and customers (e.g., any individuals who use or receive the services or products that your work unit provides, including individuals who work in your agency or in other agencies or organizations outside the Government) to satisfy their expectations. Committed to quality services.

Technology Application: Uses computers and computer applications to analyze and communicate information in the appropriate format; e.g., Microsoft Word, Excel, PowerPoint and Outlook.

Writing: Uses and proofreads documents for correct English grammar, punctuation, and spelling to communicate thoughts, ideas, information, and messages in writing.

Part-time or unpaid experience: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

Volunteer work experience: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment.You will receive credit for all qualifying experience, including volunteer experience.
