Summary

This position is located in the Office of the Director, Acquisition and Property Division (APD), Administrative and Financial Management, ARS, USDA.

The purpose of the position is to provide overall office management and secretarial support to the Division Director and members of the Division.

This position is restricted to those within the local commuting area.

Duties

Help

Major Duties may include, but are not limited to:

Screen telephone calls by determining the nature of the calls and directing them to the appropriate staff member.

Maintains the Division Director’s (DD) calendar, briefs DD on matters prior to schedule meetings, assembles and arranges information for participants and participates with weekly staff meetings while following up on assignments given.

Prepares a variety of non-technical reports for the DD including accomplishments, briefing papers, reports, memorandums, division budget spreadsheets, and leave audits.

Prepares correspondence, in draft and final form, from handwritten notes and/or electronic media, using judgment to improve narrative sections.

Serves as administrative liaison for the division in the areas of personnel actions and questions, T&A’s and leave audits, requisitions, purchase card, training, supplies, forms, travel, etc.

Specialized Experience:  Specialized experience is experience directly related to the position to be filled.  Specialized experience must be described for each grade level advertised.  The specialized experience requirements for this position are:

At the GS-7:

Qualifying experience for GS-7 includes one year of specialized experience comparable to GS-6 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. For this position, specialized experience is experience using office automation software to compose, edit and distribute correspondence and other documents; answering telephone calls and assisting customers or clients; and maintaining the calendar, scheduling appointments and arranging travel for staff.

In addition to meeting experience requirements, applicants must be able to type at least 40 words per minute.

At the GS-8:
 
Qualifying experience for GS-08 includes one year of specialized experience comparable to GS-07 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. For this position, specialized experience is experience providing overall office management and secretarial support using office automation software to compose, edit and distribute correspondence and other documents and to prepare charts and graphs; directing clients/customers to appropriate staff; maintaining the calendar, scheduling appointments and arranging travel for staff; and reviewing and verifying office expenditures.

In addition to meeting experience requirements, applicants must be able to type at least 40 words per minute.
