Edward Hines, Jr. VA Hospital (http://www.hines.va.gov/), located 12 miles west of downtown Chicago on a 147-acre campus, offers primary, extended and specialty care and serves as a tertiary care referral center for VISN 12. Specialized clinical programs include Blind Rehabilitation, Spinal Cord Injury, Neurosurgery, Radiation Therapy and Cardiovascular Surgery. The hospital also serves as the VISN 12 southern tier hub for pathology, radiology, radiation therapy and human resource management.

Duties

Help

Provides administrative support to the Chief Nurse and all assigned service staff by processing, Personnel Actions, travel requests, time and leave reports; creating joint policy documents; integrating data with the other Nursing Services; assisting with preparation of budgets for their assigned area. Maintains an accurate record of tasks and action items, tracks completion, and follows up with responsible parties to fulfill requests within the incumbent's wide range of responsibility, including; but not limited to budget. personnel, travel, correspondents, timekeeping, supplies and equipment. Prepares agendas, attends and transcribes minutes for meetings. Maintains calendars, schedules appointments .and meetings, makes necessary arrangements for conferences and meetings including reserving conference space and notifying conferees, having appropriate training materials tools, supplies, etc., available. Distributes mail, copies materials, collects and collates information and distributes documents as requested. Files and maintains office files for Chief Nurse. Maintains, updates and is generally responsible for equipment inventory tracking log for respective area. Performs other related duties as assigned.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/13/2018.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5 level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Reviews, analyzes, and evaluates various office administrative functions such as records management, reports control, forms control and administrative standard operating procedures; Advises office clerical personnel on proper maintenance and control of records; Drafts, reviews, controls, and edits SOP's in assigned clerical support areas; Projects costs of property, office supplies, computers, and other in-house budget data; Prepares work orders for the purchase or rental of various types of equipment and office furnishings such as ADP equipment, copiers, work processing equipment, file cabinets, calculators, etc; Prepares travel orders and travel vouchers to include initiating airplane, hotel, and rental care reservations; Provides assistance in preparing performance reports, statistical tracking and performance improvement using computer applications such as Outlook, Microsoft Word and Excel Spreadsheet applications.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
