Summary

The Program Support Assistant is based at the Center for Neurorestoration and Neurotechnology (CfNN), within the Research Service Line at the Providence VA Medical Center. The incumbent of this position supports, facilitates, and coordinates the conduct and daily activities of this Rehabilitation Research and Development funded research center. The position requires the incumbent to independently facilitate the accomplishment of work by providing, obtaining, and coordinating administrative support and integrating them into the management and program function of CfNN, in collaboration with the Director, Associate Director, Administrative Officer as well as center research investigators, staff and collaborators.

This is a TERM position not-to-exceed 13 months, which may be extended up to four years.

Work Schedule: Monday thru Friday, 8:00 a.m. to 4:30 p.m.

Duties

Help

The incumbent must be able to work and make decisions independently. The incumbent will assist the Administrative Officer to help plan, develop, and direct the complex administrative duties of the center. The incumbent performs work related to the acquisition and development of program information and resource materials to support the policy development and/or technical activities of the research center. The incumbent will advise center leadership of important issues arising during their absence, and will bring significant items in reports, files and correspondence to his/her attention. The incumbent will perform a wide variety of administrative tasks associated with maintaining and supporting the work performed within the research organization. Such work includes a variety of administrative functions necessary to the smooth management of a research office and ranges from correspondence and information control to tracking equipment, supplies, and services. The incumbent follows procedures and format when available, but must apply general principles to situations that are not covered specifically by guidelines. The incumbent will act as the primary liaison between the center, local and national administrative offices, and outside organizations.

The incumbent coordinates all center meetings and special events (including scheduling, preparing agendas, and composing meeting minutes); collaborates with the Administrative Officer and Public Affairs Officer, coordinates media and public relations of center events and accomplishments; prepares travel authorizations and vouchers for center investigators and serves as a liaison with the PVAMC travel office; and serves as the webmaster for the research service and is responsible for ensuring the website is current and correct.

Qualifications

To qualify for this position, you must have the following qualifications:

SPECIALIZED EXPERIENCE: Requires one (1) year of specialized experience equivalent to at least next lower grade level (GS-6) in the Federal service that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. Specialized experience includes: working in an office environment providing administrative and operational support, assisting with creating budgets, timekeeping, and travel procedures; coordinating meetings, preparing and distributing agendas and meeting materials; and working with and providing assistance with Shared computer systems and using various computer software program to complete administrative functions. Physical Requirements: It may involve some walking, standing, bending, or carrying of light items. The work is performed in an office or similar setting requiring normal safety precautions against every day risks or discomforts.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
