Duties

Help

As an ARCHIVES TECHNICIAN, GS-1421-4, your typical work assignments may include the following under supervision:

  • Conducts the initial review of incoming requests, which may include inquiries concerning fire destroyed and/or damaged records and/or Congressional and/or highly sensitive and/or regarding a high ranking governmental official, and determines, based on the contents of the request, what records and/or information is required. Screens out requests which cannot or should not be processed because of illegibility, lack of identifying information, obvious nonmilitary service, non-receipt of pertinent records, and/or misdirected inquiries.
  • Analyzes requests for information to identify the scope of inquiry. Determines which requests can be acted on, whether reference should be made to other collections, e.g., Federal and/or state, and/or if the customer should be contacted through telephonic or electronic communications to clarify the request.
  • Seeks needed record data from other information sources in the most expeditious manner.
  • Communicates directly with all levels of customers in person, by telephone, and/or e-mail to obtain clarification of the request or additional information which may facilitate the response.
  • Determines the releasability of requested information by applying knowledge of laws, regulations, policies and procedures regarding disclosure of personnel and medical information (e.g., Freedom of Information Act, Privacy Act, restrictions imposed by the military services).
  • Participates as a team member in a variety of functions as determined by team decisions, which may include performing work distribution and/or quality assurance and/or administrative team related duties.

Qualifications

GS-04: Candidates must have had one (1) year of general experience. General Experience is progressively responsible clerical, office, or other work which shows that you have the ability to obtain the particular knowledge and skills needed to perform the duties of the position to be filled. Examples of general experience for this grade include: performing reference service for records requests and delivery.

Education may be substituted for experience, GS-4: Successful completion of two years of education above the high school level, OR an associate degree from an accredited institution.

Combination of Experience and Education: You may use a combination of your post-high school education from an accredited educational institution and experience to meet the total experience requirements of the GS-4 level.

GRADUATE EDUCATION: One academic year of graduate education is considered to be the number of credits hours your graduate school has determined to represent one academic year of full-time study. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study.

FOREIGN EDUCATION: If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university.
