Summary

This position is located in the Veterans History Project, Collections Preservation, Access, and Analysis Section of the American Folklife Center. The incumbent works as part of a team that processes original archival materials received (such as oral history interviews, correspondence, memoirs, and photographs) and enters pertinent information into a database according to established procedures. The incumbent also consults Team Leaders and Program Officers for guidance with complex processing problems, occasionally corresponds with Project participants from the general public about collection materials, performs preliminary database maintenance and data entry, performs various reference duties, fills requests for copies of materials from the special collections of the Project, and may assist with oversight of routine duties of interns and volunteers.

The salary range indicated reflects the locality pay adjustments for the Washington, D.C., Metropolitan area.

The incumbent of this position will work a flextime work schedule.

This is a non-supervisory, bargaining unit position.

Duties

Help

Searches large in-house databases for duplicates of collections and to verify donor data. This includes searching newly received materials to determine which collections are already covered by entries in the database. Follows a substantial number of applicable instructions concerning the recognition and comparison of dates, names, etc. and to determine collection status. Appends the fields and online records, using existing record data as a model for future records when applicable. Follows extensive documented standards of formatting and style of data entry to input data, such as personal name, birth dates, branch of US armed forces, military rank, awards and decorations, military service locations, and brief collection material descriptions. Inputs this information into the database in machine-readable format. Uses online and print resources to research and verify information including place names, military rank, and military awards and decorations names. Proofs records to ensure accuracy and may update data. Searches and retrieves items from collections that are needed by patrons and staff.

Independently identifies groups of collections requiring complex data entry or cross-referencing and completes this data entry. Regularly executes complex database queries to gather and compile statistical data for reports, and may be responsible for updating batches of records to reflect changes in data entry standards or for editing and modifying descriptive material data. Works with search requests that contain inaccurate or incomplete information.

Organizes and prepares complex material for reformatting. Organizes and completes complex manual and computerized searches in multiple systems. Prepares automated access/inventory records for single items or collections. Compiles and prepares statistical information.

Handles original historic materials including letters, photographs, and audio/visual items, etc. Distinguishes the type of material, and separates and properly distributes all types of library collection items for processing. Completes appropriate forms for accessioning, recording, and statistical reports. Checks in materials. Following established archival procedures and practices and Library processing documentation, prepares materials for permanent storage in acid free folders, Mylar sleeves, document cases and other archival housing. Labels and arranges items according to archival standards and Veterans History Project processing documentation. Completes complex searches to identify the relationship of the piece in hand to the collection as a whole, identifying variant sections, and including annotated slips to facilitate the data entry process. Locates, identifies and resolves problems with VHP archival materials generated by ongoing inventory and collections improvement programs and special projects. Performs quality control and relabeled materials coming into the VHP collections.

Receives and accessions one or more special category materials. Analyzes each item, interpreting the bibliographic data and material content and determining individual(s) and/or organization(s) having responsibility for a publication, title, subtitle, author statements and other statements defining intellectual responsibility, edition statements, imprints, pagination, series, etc. Organizes these data into the collections database as prescribed by the appropriate rules for varying levels of data entry.

Assists in the resolution of complex program or administrative issues or problems related to processing of Veterans History Project collections. Independently resolves well-precedented issues.

Independently resolves the full range of collections maintenance issues for a library unit. Applies in-depth knowledge to complex collections maintenance issues. Develops plans to expedite sorting, arranging, and shelving of incoming collections or additions to collections. Recognizes and solves problems, inconsistencies, and errors in piece identification and labeling before such items reach final destination.

Independently recognizes when segments of the collection require shelving attention to accommodate incoming materials, based on the ability to identify/anticipate complex patterns unique to the Veterans History Project collections. Makes necessary arrangements to rearrange or shift items in accordance with available space or participates in planned moves to achieve this purpose. Identifies and processes superseded collections which require updated processing. Performs primary collection security responsibilities, including controlling stack access and verifying that material taken from the collection is properly charged.

Files appropriate loose-leaf pages in their proper location within administrative or collection folders and removes outdated pages.

Applicants must have had progressively responsible experience and training sufficient in scope and quality to furnish them with an acceptable level of the following knowledge, skills, and abilities to perform the duties of the position without more than normal supervision.

Although it is the Library's policy to afford the maximum pay benefit to employees when setting rates of pay, a new appointee who has had no previous Federal service will generally be paid the minimum step of the grade.
