Duties

Help

As a Lead Admissions Assistant (OA), you will:

  •  Maintain physical and electronic files for applicants applying from across 54 States, Territories and the District of Columbia, and assures data accuracy and standardization. Process application materials including imaging of physical documents into the admissions SIS.
  • Oversees the timely workflow of prospective student applications to committee review and throughout the admissions decision process.
  • Coordinate the Admissions communication strategy via mailings to applicants through mail merges from database software. Coordinate and process admission notifications and decisions, including the execution of physical decision mailings as well as coordinated electronic release of admission decisions and updates.
  • Prepare admissions-specific mass email campaigns in collaboration with the Director of Admissions.
  • Maintain a current knowledge and answer questions of other employees on procedures, policies, directives, etc. and obtain needed information or decisions from supervisor on problems that come up.

The ideal candidate is a highly motivated professional who has worked in a college or university Admissions office, has demonstrated experience coordinating administrative functions for a small team, and has the knowledge, skill and ability to perform automation-related duties essential to the processing and evaluation of prospective candidates.

CONDITIONS OF EMPLOYMENT:

  • SELECTIVE SERVICE: Males born after 12/31/1959 must be registered for the Selective Service.

  • PROBATIONARY PERIOD: You must complete a one-year probationary period (unless already completed).
  • TELEWORK ELIGIBILITY: This position may be eligible for occasional and/or regularly scheduled telework. The number of telework days approved will be determined by your immediate supervisor or manager following the agency’s telework policy and guidance. If participating in the telework program, you will be required to sign a telework agreement detailing agency telework policy requirements, working conditions, and expectations for the position.
  • TIME-IN-GRADE: Federal applicants must have served 52 weeks at the next lower grade in the competitive or excepted service in the executive branch to satisfy time-in-grade restrictions contained in 5 CFR 300, Subpart F.
  • DEU REQUIREMENTS: Applicants selected under delegated examining procedures may be required to successfully complete a one-year probationary period (unless already completed).

Qualifications

To meet the minimum qualifications for this position, you must (1) meet the Education Requirement for the series, (2) provide a copy of transcripts for verification, AND (3) meet either the education or experience qualifications for the grade at which you are requesting consideration.

To qualify for the GS-09 on Experience, you must have at least one year of experience equal or equivalent to the GS-07 it must include:

  • Experience performing and delegating a variety of administrative and staff support duties for an organization that requires a high level of customer service and attention to detail.
  • Experience collaborating with others toward deadlines and during a candidate evaluation process.
  • Experience establishing or improving processes necessary to support administrative and technical functions of an office.
  • Experience using various software such as Microsoft Word, Excel, PowerPoint, Outlook to prepare and update electronic correspondence, instructions, reports and other documents.


To qualify for the GS-09 on Education alone, you must have 2 years of progressively higher-level graduate education leading to a master's degree or have been awarded a master's or equivalent graduate degree. You can also qualify based on a combination of graduate education and experience. This must be fully supported by your resume and transcripts, provided with your application.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

  • Attention to Detail- Is thorough when performing work and conscientious about attending to detail.
  • Clerical- Knowledge of filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms.
  • Computer Skills- - Uses computers, software applications, databases, and automated systems to accomplish work.
  • Interpersonal Skills- Shows understanding, friendliness, courtesy, tact, empathy, concern, and politeness to others; develops and maintains effective relationships with others; may include effectively dealing with individuals who are difficult, hostile, or distressed; relates well to people from varied backgrounds and different situations; is sensitive to cultural diversity, race, gender, disabilities, and other individual differences.
  • Oral Communications- - Makes clear and convincing oral presentations. Listens effectively; clarifies information as needed.
