Summary

This position is in the Agricultural Research Service (ARS), Field Organization, Midwest Area (MWA), Dairy Forage Research Unit located in Madison, WI.

In this position, you will serve as a personal assistant to the Research Leader (RL) and other professional staff, coordinating a wide variety of administrative and clerical tasks essential to the program administration of the Management Unit.

Duties

Help
  • Schedules conferences and meetings, including arranging logistics, preparing agendas, and notifying participants.
  • Completes requests for personnel actions and writes and/or provides sample position descriptions; distributes forms and instructions for annual performance ratings and ensures timely, proper completion.
  • Participates in program planning support work such as research project coordination, travel documentation, budget coordination/tracking, agreements, and purchasing/procurement of supplies and equipment, and human resources administration.
  • Maintains tracking logs, action items, manages administrative suspense items and transaction records.
  • Uses an electronic calendar, database or spreadsheet software to document employee leave schedules and to commit the RL’s time for appointments and meetings; transmits and receives documents and messages electronically.
  • Serves as principal timekeeper to the Research Unit. Responsibilities include; prepares, maintains, and transmits Time and Attendance (T and A) reports using agency program (STAR).
  • Develops and implements new systems or administrative processes to meet unit needs.
  • Participates in unit reviews and workshops; keeps managers and scientists informed of upcoming reviews..

GS-06
Specialized Experience: Specialized experience is experience directly related to the position to be filled. The specialized experience requirements for this position are: Qualifying experience for GS-06 includes one year of specialized experience comparable to GS-05 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. For this position, specialized experience is experience assisting with administrative tasks including maintaining detailed records of all purchases necessary for an office environment; and ensuring the accuracy of all documents and correspondence.

Specialized Experience: Specialized experience is experience directly related to the position to be filled. The specialized experience requirements for this position are: Qualifying experience for GS-07 includes one year of specialized experience comparable to GS-06 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. For this position, specialized experience is experience participating in the planning and coordinating of administrative tasks and business processes of an office; maintaining and tracking budget information for an office; and using office automation software to create and review documentation and correspondence.

Applicants must be able to type 40 words per minute.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
