Summary

You will serve as a Supervisory Administrative Specialist (Travel Coordinator) for the Small Business Administration (SBA), Office of Capital Access, Disaster Administrative Services Division - DASD in Washington, District of Columbia. This position manages a nation-wide travel program and is the principal advisor for all travel related issues for the Office of Capital Access, Disaster Administrative Services Division.

Duties

Help

As a Supervisory Administrative Specialist (Travel Coordinator) at the GS-0301-13, some of your typical work assignments may include:

  • Supervise staff in one or more administrative programs such as travel arrangement services, travel credit cards, support desk and travel voucher examination.
  • Supervise staff as they service as customer service representatives on a support desk.
  • Supervise staff who completes voucher reviews on both routine and/or unusual travel vouchers and audit travel voucher files for accuracy and adherence to SBA, OCA/ODR&R and Federal policies.
  • Use Microsoft Office applications to include Excel, Word, and PowerPoint and Web-based systems to generate and run reports, import and export data and identifies and troubleshoots errors in data or reporting.
  • Manage data across multiple systems and databases and transfers data between systems as required.
  • Interact daily with travelers, travel management companies, employees, and management in the performance of duties.
  • Assist management in assessing the effectiveness of all the administrative functions and efficiency performed in the travel department.
  • Plan and direct the activities of the travel department in performing travel arrangements, credit cards, support desk and/or voucher processing duties to ensure an even flow and distribution of work.
  • Maintain production and error reports, monitors time and attendance, tracks and discuss discrepancies and handle general personnel issues within the department.
  • Maintain a current knowledge of all policies and procedures ensuring that team members are kept up to date of any changes.
  • Develop training and performance plans for subordinates and conducts quarterly reviews with department employees.
IMPORTANT NOTES:
  • This is a Permanent position with a full-time work schedule.
  • If required to travel to a disaster site, you may encounter hazardous working and/or living conditions, for example, no water or electricity and/or minimal lodging facilities.
  • A valid driver's license may be required.

Qualifications

Generally, time in Non-Pay status is not creditable towards the specialized experience requirement listed below.Federal status applicants must meet both Time-In-Grade AND experience requirements by the closing date of this announcement. However, if you have separated from the Federal Government for at least 52 weeks, you are not subject to the Time-in-Grade requirement.

Time-In-Grade Requirement:
GS-13: Must have held grade GS-12 for 52 weeks


Experience:

GS-13: To qualify you must have at least 1 full year (52 weeks) of specialized experience equivalent in difficulty and complexity to the GS-12 level in the Federal service that has equipped you with the particular knowledge, skill, and ability to perform successfully in this position. This experience may have been gained in a Non-Federal service position. In addition, this Specialized Experience must demonstrate the following:
*Interpreting and applying applicable travel laws, regulations, and policies in one or more areas of travel authorizations and arrangements, credit cards, support desk and/or travel vouchers.
*Identifying organizational, procedural and production issues and providing solid recommendations for improvement within a department or organization.
*Providing customer service to internal and/or external customers by assessing needs, providing information or assistance, and resolving problems.
*Using software and automated systems designed to accomplish and manage the work in an administrative services department, such as travel arranging, procurement, accountable property, budget, etc.
*Leading or supervising in an official capacity administrative project or a team/staff of diverse employees in the day-to-day administrative and program support operations for an organization/office.

GS-13: There is no educational substitution at this grade level.
