Please note that this position will close after the 75th application has been received. As an Executive Assistant, you will be responsible for duties to include, but are not limited to:

  • Responsible for managing the CEO's schedule; providing the coordination and administrative support essential to the smooth and efficiency of the front office operations to include, establishing and maintaining schedules, drafting executive and congressional correspondence, and gathering briefing materials.
  • Assisting with governance, strategy, and operational issues, in charge of domestic and international travel activities.
  • Ensuring that budget, office equipment and office supplies are adequate to accomplish the CEO's goals and performs special projects and other administrative support essential to the smooth and efficient operation of the CEO Office's operations.
  • Provides high quality analytical support of research activities in support of the CEO and Office of the CEO (assembles, edits, and executive summarizes background material pertinent to the CEO's meetings, activities); maintains well-organized reports and research notes and ensures easy availability to the CEO.
  • Drafts responses to inquiries, requests for information, and requests for action, and develops new methods for coordinating the administrative work of a complex operations with various areas that require intricate administrative controls to accomplish the work of the organization.
  • Keeps CEO informed on critical issues that require the CEO's attention affecting the organization and shares information, as appropriate with management and leadership.
  • Collaborate with executive leaders and project stakeholders to assist with identification of project requirements, coordination of activities and resources across the CEO's office operations, monitoring of progress, and achievement of objectives.
  • Drafts briefing documents for CEO and management staff and works with the front office to develop and maintain briefing documents.
  • Maintains liaison with individuals inside and outside the agency to ensure the proper application of established processes and methods.
  • Reads and responds to communications with high-level international, federal, state, and local officials or representatives of the media industry and general public regarding issues of interest or concern.
  • Facilitates the implementation and/or dissemination of procedural and policy changes through effective written and oral communication and accurately conveys the intent and expectation of the CEO to internal and external stakeholders.
  • Provides administrative support for the CEO and keeps the CEO and staff advised of any changes in USAGM program, organizational policy, procedures, and front office priorities in connection with the work and uses knowledge of the substantive work of the organization in accepting, declining and/or adjusting appointments requests in conjunction with CEO and office staff. Develops and maintains long-range calendars.
  • Coordinates communication and meeting efforts with senior level executives from local, state, federal, and international organizations.
  • Reviews correspondence requiring the signature of the CEO for format, style, content, and possible sensitivity; assist in formatting, preparation, and proof-reading of highly confidential documents, and in the compilation, interpretation and presentation to support key issues under review by the CEO.
  • Receives and screens all telephone calls and high-ranking visitors from various communities, to include, other government agencies, congressional offices, and media representatives.

  • This is a non-critical sensitive position. If selected, this position requires the completion of the SF-86. Position requires a Secret Clearance.
  • Suitability Determination: If selected, you may be subject to a background investigation to establish your suitability for federal employment. The background investigation may include, among other aspects, a review of your credit and legal history.
  • This position is not covered by a union agreement.
  • The full performance grade level for this position is GS-12.

Qualifications

A. To qualify for the GS-9, applicant must have at least one year of specialized experience or equivalent experience to the GS-07 grade level in the Federal government or private sector, performing duties such as:

  • Applying routine administrative practices.
  • Providing administrative support to the functions of the Office.
  • Providing administrative advice and recommendations on matters pertaining to administrative processes and policies.
  • Experience preparing routine formal and informal correspondence, reports and briefings documents for office staff.
OR

B. Have successfully completed a master's or equivalent graduate degree or 2 full years of progressively higher-level graduate education leading to such a degree.

OR

C. A combination of education and experience as described in both A and B.

To qualify for the GS-11, applicant must have at least one year of specialized experience or equivalent experience to the GS-09 grade level in the Federal government or public or private sector performing duties such as:
  • Applying established administrative practices to operations.
  • Representing senior leadership at internal activities.
  • Providing administrative leadership to the functions of the Office.
  • Providing technical advice and recommendations on matters pertaining to administrative processes and policies.
  • Experience preparing formal and informal correspondence, reports and briefings documents for senior level officials.
OR

Ph.D. or equivalent doctoral degree in a related field of study at an accredited college or university.

OR
Three full
years of progressively higher-level graduate education leading to a Ph.D. or equivalent doctoral degree in a related field of study.

OR
A combination of experience and education.

To qualify for the GS-12, applicant must have at least one year of specialized experience or equivalent experience to the GS-11 grade level in the Federal government or public or private sector performing duties such as:
  • Applying new administrative practices to operations where precedents do not exist.
  • Representing senior leadership at internal or external activities.
  • Providing managerial/administrative leadership to the functions of the Office.
  • Providing expert technical advice and recommendations on matters pertaining to organizational processes, procedures, and policies.
  • Experience writing, preparing, and evaluating formal and informal correspondence, reports, briefings, and analytical documents for senior level officials.

Education

To qualify for the GS-9 based on education, applicant must have master's or equivalent graduate degree.

or

2 full years of progressively higher-level graduate education leading to such a degree.

or

LL.B. or J.D. in a related field.

To qualify for the GS-11 based on education, the applicant must have aPh.D. or equivalent doctoral degree.

or

3 full years of progressively higher-level graduate education leading to such a degree.

or

LL.M., in related field.
