Help

As a Secretary (Office Automation), you will:

  • Routinely assists employees with confidential inquiries involving personal information.
  • Provide general public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures.
  • Provides customers with consistent information according to established policies and procedures.
  • Places calls, obtains log distance numbers required by staff, and delivers messages by memorandum of call.
  • Prepares complex and sensitive reports, operational plans, proposals, etc. appropriate for use or signature by the service chief or Medical Center Director.
  • Assist staff in researching, collecting and compiling data for recurring reports.
  • Tracks and maintains records of all reports originating in the Environmental Management Service to assure deadlines set by VA Central Offices, VISN, and the Director's office are met.
  • Review and analyze incoming and outgoing material and correspondence for the Environmental Management Service Staff.
  • Prepare, compose and review correspondence prepared for the purpose of obtaining o supplying information, including butt not limited to letters, memoranda, reports, presentation outlines, service policies, technical material, Congressional and VACO correspondence based on rough drafts, notes or oral instructions.
  • Maintains the calendars of both the Chief and the Assistant Chief and schedules appointments, coordinates meetings, and/or schedules conferences and plans conference administrative details.
  • Perform duties as the primary timekeeper for EMS and may also serve as a backup timekeeper for other sections within the Medical Center, as needed.
Work Schedule: Monday - Friday, 8:00am - 4:30pm (Subject to change based on the needs of the agency)

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/28/2023.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Using a computer and office automation applications to track, control and prepare a variety of reports on documents, spreadsheets, and using electronic databases, the internet and email applications, answering the phone, greeting customer and performing secretarial type duties; performs clerical work, paying attention to details such as grammar, spelling, punctuation, formatting of documents and able to independently complete a technical review of documents. This experience must be supported by your resume to be creditable. OR,
  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. (TRANSCRIPT REQUIRED) OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the first 60 semester hours. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPT REQUIRED)
In addition to meeting the specialized and/or education, applicants must meet the typing requirement below.
Typing Requirement: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: Work is primarily sedentary though some walking, standing, lifting, and stooping are required using files or delivering stacks of documents. No special physical demands are required to perform the work.

Receiving Service Credit or Earning Annual (Vacation) Leave
: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience.
