Help

The Supervisory Medical Support Assistant (MSA) serves as the direct line supervisor for all assigned MSA staff which includes at least one (1) Lead MSA. Incumbent is responsible for the daily oversight of the area in which they are assigned, providing direct supervision, guidance and leadership.

Assignments at this level include, but are not limited to:

  • Assigning and evaluating the work of subordinate staff.
  • Resolving complex problems to ensure patient service needs, unit metrics, assigned projects, and tasks are met.
  • Evaluating new products, equipment, and systems in order to make recommendations for improved operations.
  • Identifying educational or training needs.
  • Making final decisions on selections.
  • Evaluating performance, and taking disciplinary action when necessary, for unit staff assigned under the Supervisory MSA.
  • Responsible for extracting and analyzing data to provide reports in support of performance measures to senior management.
Work Schedule: Monday - Friday, 8:00 a.m. - 4:30 p.m. (excluding weekends and federal holidays).
Telework: Position is 100% Telework. Candidate must be located within 50 miles commuting distance of VISN 15 network office or one of the VISN 15 facilities (Medical Center or Community Based Outpatient Clinic). This position is remote and duty location/salary will be determined at time of selection. Selected applicants will be responsible for providing reliable, high-speed internet connection in order to perform the duties of the position remotely.

Qualifications

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • English Language Proficiency: Must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j.
  • Experience and Education.(1) Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; - OR, - (2) Education. One year above high school; - OR, - (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
NOTE: Part-time experience as an MSA or equivalent administrative patient support in a non-VA medical inpatient or outpatient setting is creditable according to its relationship to the full-time workweek. For example, an MSA employed 20 hours a week, or on a 1/2-time basis, would receive one full-time workweek of credit for each two weeks of service.

May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations:
GS-8 Supervisory Medical Support Assistant
Experience: One year of experience equivalent to the [GS-7] grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. In order to be considered at the GS-8 grade level, you must fully meet (experience must be documented in your resume or separate KSA responses) both the GS-7 and GS-8 KSAs.

Candidates must demonstrate all of the KSAs below:

GS-7 KSAs:

i. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
ii. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
iii. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
iv. Skill in communicating with individuals to obtain the desired effect [and coordinating with a variety of interdisciplinary care team staff].
v. Ability to provide staff development and training.
vi. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.

GS-8 KSAs:
i. Ability to provide the full range of administrative and supervisory duties [to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
ii. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
iii. Ability to provide briefings, orientations, staff development, and training [in a patient support setting].
iv. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
v. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

Preferred Experience: One year supervisory experience in a medical setting preferred.

The full performance level of this vacancy is GS-08.

Physical Requirements: The work is sedentary. Typically, the Advanced MSA sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, etc. No special physical demands are required to perform the work.
