As a Program Support Assistant you will be responsible for the follow duties at the GS-07:

Review all incoming correspondence and determines proper action. Based on the subject matter, referrals to appropriate point of contact. 

Establish and maintains files and prepares correspondence. Assists in maintaining records and updating databases.

Assists supervisor with basic complaint intake functions.

Prepare case files for each complaint, enters information about the complaint in to the Case Management System and uploads each complaint to the Document Management System. 

Compiles information and provides a status of various program activities, such as workload.

Composes and maintains status reports.

As a Program Support Assistant you will be responsible for the follow duties at the GS-08:

Review all incoming correspondence and determines proper action.

Prepare and review outgoing correspondence and reports for proper format, accuracy and coordination of facts in accordance with established policy.

Coordinate meetings and conferences.

Prepare travel orders and vouchers in accordance with federal travel regulations.

Establish and maintain files, prepare correspondence and maintains office supplies.

Provide advice on matters pertaining to time and attendance, leave, travel, reports and correspondence procedures.  

Compiles information and provides a status of various program activities, such as, status of funds, workload and completion of work.

Under direct supervision, composes narrative budget justifications for various OCR components. Compose and maintain status reports.

Analyzes data to determine and evaluate results, trends and developments.

Assists supervisor with basic complaint intake functions, assign each incoming complaint a docket number and prepare the case file for each complaint.

Utilize systems to enter information about the complaint in the Case Management System (CMS); upload each complaint to the Document Management System (DMS); and send acknowledgment and other information on complaint filing.

Duties mentioned above are at the GS-08 grade level. Incumbent will perform duties at the GS-07 grade level with more supervision and less complexity.

Condition of Employment:

Selective Placement Factor:
Applicant must be able to type at least 40 words per minute with 3 errors or less.

Specialized Experience for the GS-07
One year of experience in either federal or non-federal service that is equivalent to at least a GS-06 performing two (2) out of  three (3) of the following duties or work assignments: performing two (2) out of  three (3) of the following duties or work assignments:

  1. Experience accessing databases to retrieve information to identify, consider and resolve issues or problems. 
  2. Experience producing a wide range of documents and reports in an automated system.
  3. Experience implementing organization, vision, mission, objectives and policies in an office setting.

Knowledge, Skills, and Abilities (KSAs)

The quality of your experience will be measured by the extent to which you possess the following knowledge, skills and abilities (KSAs). You do not need to provide separate narrative responses to these KSAs, as they will be measured by your responses to the occupational questionnaire (you may preview the occupational questionnaire by clicking the link at the end of the Evaluations section of this vacancy announcement).

  1. Ability to communicate orally and in writing.
  2. Skill in office automation systems.
  3. Knowledge of intake processes to identify, consider and resolve issues or related problems.

Specialized Experience for the GS-08
One year of experience in either federal or non-federal service that is equivalent to at least a GS-07 performing two (2) out of  three (3) of the following duties or work assignments:

  1. Experience establishing and modifying internal tracking systems for internal and external requests and correspondence control.
  2. Experience developing standard operating procedures and user guides for office automation procedures.
  3. Experience in performing specialized work in support of a senior professional or specialist.

Knowledge, Skills, and Abilities (KSAs)

The quality of your experience will be measured by the extent to which you possess the following knowledge, skills and abilities (KSAs).   1. Knowledge of processes and responding to information requests from the general public.  
  2. Knowledge of how to provide operational service for a program office.
  3. Knowledge of fiscal management analysis and program objectives. 
  4. Knowledge to developing  standard operating procedures and user guides for office automation procedures.

Education

Education substitution for specialized experience (GS-7/8):

Education cannot be substituted for experience for this position and grade level.

How you will be evaluated

You will be evaluated for this job based on how well you meet the qualifications above.

We use a multi-step process to review and evaluate applicants:

1. Eligibility and Minimum Qualifications

Once the vacancy announcement closes, we will review your submitted resume and documents to determine if you meet the eligibility and minimum qualification requirements, including any required education, experience, and/or selective placement factors. You will be rated as ineligible if you are outside of the area of consideration (i.e., who may apply) or your application is missing any required documents. You will be rated as not qualified if you do not possess the minimum qualification requirements.

2. Rating and Ranking

If you are found to meet both the eligibility and minimum qualification requirements, we will assess the quality of your experience and the extent to which you possess the required KSAs by comparing your submitted resume and documents against your responses to the occupational questionnaire. Based on the outcome of this evaluation, you will be assigned a numerical score (out of 100 possible).
