Summary

The position is a Medical Support Assistant (MSA) within the VISN 4 Clinical Resource Hub (CRH). The primary duties of the MSA are to perform a variety of administrative support functions in connection with Veteran's inpatient and outpatient visits, care, and treatment, while working collaboratively in an interdisciplinary coordinated care delivery model.

Work Schedule: Monday - Friday 8:00am - 4:30pm

Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics and specialties. The MSA covers a range of services performing the administrative details that are essential to the orderly and efficient accomplishment of the Specialty Care CRH and Tele Primary Care CRH.

Duties included but not limited to:

  • works collaboratively with staff members in the CRH to manage and plan patient care, prioritize deadlines and adjust workflow to meet patient needs
  • Incumbent provides input and solves problems on operational issues or procedures and performs follow-up to administrative needs of the Veteran
  • Recommends changes to existing clinic procedures based upon current administrative guidelines
  • The incumbent must possess good organizational skills and work effectively with staff and patients from different backgrounds
  • Uses CPRS and Vista (knowledge of various scheduling platforms) to access patient-specific information in order to answer patient inquiries about patient location, appointments and/or status of medication refills, while following all HIPAA requirements
  • Develops/maintains effective and efficient communication with the patient, interdisciplinary team, VA Medical Centers and other agencies
  • Provides advisory and technical assistance in screening, scheduling, processing, and coordinating services to veterans, beneficiaries, family members and outside interested parties as necessary

Qualifications

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Experience or Education
    • Experience: Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
    • Education: One year above high school (transcript is required with application); OR
    • Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.(transcript is required with application);
  • English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations: Advanced Medical Support Assistant, GS-06 - In order to be found qualified for this position, you must possess the following:
Experience. One year of experience equivalent to the next lower grade level (GS-05). Examples of experience at the next lower grade would include; scheduling appointments (including interpreting and verifying provider orders), canceling, re-scheduling patient's appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed in order to obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other facilities or hospitals; performing basic eligibility, co-pays and pre-authorization requirements for specific coverage, and other related support work in a health care setting.

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:
  1. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
  2. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
  3. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
  4. Advanced knowledge of the technical health care process including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals as it relates to access to care.
  5. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
  6. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

Physical Requirements: The work requires some standing, but for the most part, the employee is sitting with intermittent walking, bending, lifting, and carrying supplies and/or medical records which weigh less than 15 pounds. Work requires the use of a keyboard, computer and video screen for up to six hours intermittent per day. Intermittent walking is necessary to pick up, transfer and deliver records and other documents needed for patient care.
