Summary

This position serves as the Administrative Assistant to the Associate Director for Nursing & Patient Care Services (AD NPCS), VA Connecticut Healthcare System in New Haven, Connecticut.The primary function of this position is to provide assistance to the AD NPCS in leading, organizing, developing, executing and controlling the delivery and coordination of administrative and operational services within the System, and all other related activities associated with the AD NPCS's role.

Some of the duties and responsibilities of this position include (but are not limited to):

  • Prepares the mid-year and annual evaluations to be completed on a timely manner for the Associate Director
  • Assists services assigned in the updating and publication of Medical Center policies
  • Acts as a liaison between clinical services and supporting services on matters of an administrative nature
  • Sends budget call letter to the Services and rolls up the data on Excel spreadsheet with budget justifications
  • Reviews and delegates responsibility for VISN Tasking, VAIQ, and all other official action items to the responsible direct reports of the AD NPCS; tracks progress and reviews submissions for accuracy, format, content, completeness, and timeliness
  • Receives confidential and sensitive incoming mail and correspondence and alerts and develops standard or form letters and replies to inquiries, prepares certificates, graphs and other comparable items
  • Coordinates and prepares a variety of meetings and events for the AD NPCS, making appropriate calendar notations and invitations as needed
  • Receives, reviews, assembles background material and organizes agenda packets for the Associate Director for Nursing & Patient Care Services' meetings
  • Establishes and maintains an effective filing system for the general file for the Office of the Associate Director that allows for efficient identification and retrieval of filed documents
  • Edits letters, composes letters, minutes and reports and develops standard or form letters and replies to inquiries
  • Schedules appointments, coordinates meetings, travel, and/or schedules conference calls
  • Performs timekeeping for employees under this office using the electronic VATAS system
  • Performs other related duties as assigned

Work Schedule: Monday-Friday, 7:30 am - 4:00 pm

Qualifications

In order to qualify for this position, you must possess at least one full year of specialized experience equivalent to the next lower grade level in federal service. Specific qualifying specialized experience for this position (which should be documented on your resume) is: experience maintaining a supervisory or executive-level calendar/schedule; coordinating meetings; performing timekeeping for a group of employees; maintaining a filing system for a department or office; and processing written communications such as memorandums and reports. Additional information

Physical Requirements: The work is sedentary, being performed for the most part in an office setting with occasional requirements to lift, bend, and carry books, supplies and files. The individual will be required to be seated at a computer console for extended periods and be able to enter and review information displayed on a television type monitor.
The employee occasionally walks to other areas of the medical center.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
