Summary

This position is located in the South Bend Area Office of the Agricultural Marketing Service, Specialty Crops Program, Specialty Crops Inspection Division. In this position you will serve as the Administrative Support Assistant responsible for providing technical guidance and oversight of the day-to-day administrative service operations for the field office.

Duties

Help
  • The duties described are for the full-performance level. At developmental grade levels, assignments will be of more limited scope, performed with less independence and limited complexity.
  • The duties may include, but are not limited to:
  • Responsible for managing customer accounts in various billing programs, reviewing financial printouts for accuracy, monitoring delinquent accounts and preparing certificates.
  • Prepares, reviews and submits Time and Attendance reports, travel authorizations and vouchers, general correspondence and accident forms.
  • Composes and types correspondence, either independently or from brief, verbal instructions or rough drafts.
  • Supervises the maintenance of all records and files in the area office.
  • Follows supervisory instructions in handling Freedom of Information Act Requests from the National office.
  • Utilizes a computer to prepare and input various accounting and personnel records
  • Resolves employee pay problems, including non-receipt of salary checks, travel checks and savings bonds

Qualifications

Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement including time-in-grade restrictions, specialized experience and/or education, as defined below.

TIME-IN-GRADE: Current federal employees applying for a promotion opportunity must meet time-in-grade (TIG) requirement of 52 weeks of service at the next lower grade level in the normal line of progression for the position being filled.

FOR THE GS-05 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-04 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates:

  • Correspondence management, composition and review.
  • Automated time and attendance reporting system(s).
  • Utilizing various electronic applications; spreadsheets, databases, word processing programs, power point and various other venues of information technology.
  • Maintaining inventory and property accountability records.
  • Records management.
OR
Four years education above the High School level in any field of study.

Equivalent combinations of education and experience are qualifying for this grade level.


For the GS-06 Level: Applicants must have one year of specialized experience (equivalent to the GS-05 level) that demonstrates experience with:
  • Correspondence management, composition and review.
  • Automated time and attendance reporting system(s).
  • Utilizing various electronic applications; spreadsheets, databases, word processing programs, power point and various other venues of information technology.
  • Maintaining inventory and property accountability records.
  • Records management.
  • Preparation of travel authorizations and vouchers and conducting travel audits.
Note: There is no education substitution for this grade level.


For the GS-07 Level: Applicants must have one year of specialized experience (equivalent to the GS-05 level) that demonstrates experience with:
  • Coordinating overall administrative processes for an office, (e.g., purchasing, supply management, personnel administration, data processing, files management, etc.)
  • Researching and providing information to employees on regulations and proper procurement channels.
  • Preparing requisition requests for supplies and maintains inventory of all office supplies.
  • Preparing travel authorizations and travel vouchers using online travel systems. Making domestic and foreign travel reservations and arrangements, reviewing and resolving errors in travel vouchers.
Note: There is no education substitution for this grade level.


TRANSCRIPTS are required if:

  • This education must have been successfully completed and obtained from an accredited school, college, or university
COMBINATION OF EDUCATION & EXPERIENCE AT THE GS-05 GRADE LEVEL: Applicants may have combinations of successfully completed education and specialized experience to meet total qualification requirements. The total percentages must equal at least 100 percent to qualify for that grade level.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
