Duties

Help

The Academic Support Coordinator:

  • Serves as the primary coordinator charged with oversight and management of the Academy’s textbook ordering and distribution process. Collects information for all textbooks and other academic materials for use by Academy Midshipmen and faculty required for the school term. 
  • Receives, stores, and maintains a textbook repository; distribute all required textbooks consistent with students’ academic course schedules; act as liaison with the vendor in resolving any issues such as missing or late items.
  • Using multiple data sources, calculate the quantities of textbooks needed, collate and enter information into a computer and analyze for requisitioning and purchasing, compile textbook order, obtain price listing and quotes from vendors, prepare and submit purchases requests.
  • Maintains and operates an inventory management system to document the distribution and issuance of textbooks, textbook loaners, sextants, and other academic materials.
  • Works with vendors and book publishers to ensure accurate titles and quantities are ordered with on-time delivery. 
  • Works closely with the library staff to manage textbook rental program and textbook adoptions. 

The ideal candidate for this position is a detail oriented, motivated self-starter with a strong work ethic with capacity to carry out day-to-day operations with minimal supervision. Must have excellent organizational and record keeping skills with the ability to analyze, compile, and report data in a timely and accurate manner. The candidate must have strong interpersonal and communication skills, be customer service oriented, and comfortable working in a team environment in developing creative solutions for improving overall efficiency in operations. Previous experience as manager or supervisor in the area of supply management and distribution is desired.

CONDITIONS OF EMPLOYMENT:

  • SELECTIVE SERVICE: Males born after 12/31/1959 must be registered for the Selective Service.
  • TYPING: You must have a typing speed of at least 40 words per minute with three (3) or fewer errors.
  • TIME-IN-GRADE: Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions contained in 5 CFR 300, Subpart F.

Qualifications

To meet the minimum qualifications for this position, you must meet either the education or specialized experience requirements.

To qualify for the GS-07 on Experience, you must have at least one year of experience equal or equivalent to the GS-05 it must include:

  • Experience in requisitioning, procurement, inventory and supply management. Additional experience in warehouse or stockroom management and distribution of academic supplies, equipment with emphasis on textbooks and other materials is a plus.

To qualify for the GS-07 on Education alone, you must have:

  • 1 year of graduate-level education OR superior academic achievement.
  • **Superior Academic Achievement is based on (1) class standing, (2) grade-point average, or (3) honor society membership.
  • 1. Class standing -- Applicants must be in the upper third of the graduating class in the college, university, or major subdivision, such as the College of Liberal Arts or the School of Business Administration, based on completed courses.
  • 2. Grade-point average (G.P.A.) -- Applicants must have a grade-point average of: 3.0 or higher out of a possible 4.0 ("B" or better) as recorded on their official transcript, or as computed based on 4 years of education, or as computed based on courses completed during the final 2 years of the curriculum; or 3.5 or higher out of a possible 4.0 ("B+" or better) based on the average of the required courses completed in the major field or the required courses in the major field completed during the final 2 years of the curriculum.

You can also qualify based on a combination of graduate level education and experience. This must be fully supported by your resume and transcripts, provided with your application.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

  • TECHNICAL COMPETENCE: Using multiple data sources, calculate the quantities of textbooks needed, by entering information into a computer database, by analyzing requisitioning requests before purchasing textbooks.
  • CONTRACTING AND PROCUREMENT: Ability to interpret and apply rules, regulations, policies, and procedures related to the contracting and procurement purchasing function, while working with vendors and book publishers.
  • INTERPERSONAL SKILLS: Uses interpersonal skills by tact, patience, and courtesy with telephone techniques skills and etiquette.
