Help

Major Duties include but are not limited to:

  • Receiving, scheduling, referring, and contacting internal and external customers;
  • Conducting research of the service and its programs in order to provide responses to inquiries;
  • Answering and screening calls regarding routine and procedural requirements;
  • Processing incoming and outgoing materials such as correspondences, reports, memoranda, and other forms of written communication;
  • Composing and editing letters and reports;
  • Developing standard form letters and replying to inquiries;
  • Scheduling appointments;
  • Coordinating meetings and conferences; and
  • Obtaining and monitoring the use of supplies and equipment for the service.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/04/2020.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade level (GS-04) in the normal line of progression for the occupation in the organization. Qualifying specialized experience includes, but not limited to: scheduling appointments; arranging for conferences and/or meetings; ordering supplies; responding to inquiries; and providing responses to customers. Your experience must be detailed in your resume to receive full credit. OR,
  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed four (4) full years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite at an accredited college or university. (Transcript required). OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond above high school (in excess of the first 60 semester hours) and specialized experience to meet the qualification requirements. Note: One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent beyond the second year in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school is equivalent to 6 months of specialized experience. (Transcripts required).
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience requirement described below, you must be able to type at least 40 words per minute.

You will be rated on the following Competencies for this position:
  • Knowledge of the duties, priorities, commitments, policies, and program goals of the staff sufficient to perform non-routine assignments.
  • Knowledge sufficient to recognize which information is or is not relevant to the problem at hand.
  • Knowledge required to coordinate the work of the office with the work of other offices and for recognizing the need for such coordination in various circumstances.
  • Knowledge of the duties, priorities, commitments, policies, and program goals of the supervisor and the staff involved analysis of the subject, phase, or issue involved in each assignment.
  • Knowledge initiative in carrying out the reoccurring work of the office independently, referring only problems and from the situations not cover by instructions to the supervisor for help.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places as meeting and training rooms, libraries, or commercial vehicles. The work area is adequately lighted, heated, and ventilated.
