Duties

Help

The incumbent will serve as a Administrative Support Specialist providing support and assistance to the Assistant Inspector General for Management and Administration (AIGMA), Director of Human Resources (HR), Director of Administrative Resources Services (ARS), and staff in carrying out and supporting the administrative and program management functions of the organization.  The incumbent will be responsible for supporting the planning, integration, implementation, and evaluation of all activities of the executive resources program and Senior Executive Service policy initiatives for OIG; assisting in the coordination, compilation, drafting and publishing of highly-visible documents reviewed and approved by the DOE Inspector General, and distributed to various members of Congress, Government Oversight Committees and The Vice President of the United States; compiling and organizing essential information and materials for the AIGMA in advance of meetings, and ensuring that senior officials are briefed on matters to be discussed and considered before scheduled meetings; responding to inquiries and administrative problems brought to the office by members of the staff, other OIG organizations, or external organizations and individuals; preparing correspondence, reports, and other written materials on routine or assigned issues; researching, compiling, reviewing, and organizing materials in order to develop materials and reports; receiving and screening incoming telephone calls and visitors; escorting visiting officials to meeting locations; receiving and reviewing all incoming mail, distributing accordingly; establishing and maintaining office files and records; assisting in performing and supporting special projects and initiatives pertaining to administrative and program support functions on behalf of the AIGMA.

Qualifications

SPECIALIZED EXPERIENCEREQUIREMENTS - A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the next lower grade level in the Federal service.

Applicants may qualify for this position based on a combination of education or specialized experience depending on the grade level you are applying for.  Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position being filled.

At the GS-9 level the applicant must have a master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree or LL.B or J.K. if related or 1 year of specialized experience equivalent to at least the GS-07. Specialized experience includes being responsible for a variety of administrative and program support functions of an office; providing support and assistance to management in carrying out programs and functions of an organization.

At the GS-11 level the applicant must have a Ph.D or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.J., if related or 1 year of specialized experience at the GS-09.  Specialized experience includes preparing correspondence, reports, and other written materials on routine or assigned issues; researching, compiling, reviewing, and organizing materials in order to develop materials and reports; reviewing correspondence prepared by others for  management signatures; ensuring compliance, clarity, grammatical correctness, and completeness of reply and information included.

At the GS-12 level the applicant must have 1 year of specialized experience equivalent to a GS-11.  Specialized experience includes assisting in the coordination, compilation, drafting and publishing of highly-visible documents reviewed and approved by the senior level officials and distributed to various members of Congress, Government Oversight Committees and The Vice President of the United States; preparing; establishing and applying a rigorous publication plan, requiring close oversight of a team of personnel at a wide range of levels, in order to ensure on-time delivery of required reports; using qualitative and quantitative techniques for analyzing, evaluating and applying statistical results to data-intense charts and reports.

1. Knowledge of administrative concepts, methods, and practices, sufficient to identify, select, apply, interpret, and devise policies and procedures for administrative and program support functions.

2. Knowledge of qualitative and quantitative techniques for analyzing, evaluating and applying statistical results to data-intense charts and reports, enabling executive reviews and/or senior-level management decisions to be made.

3. Skill in using a personal computer and software applications to produce professional quality work, reports, presentations, and materials.

4. Skill in the use of grammar, spelling, punctuation, and required correspondence and memoranda formats, to assure that documents present a professional image.

5.  Ability to communicate orally and in writing in order to present facts, establish and maintain effective working relationships, prepare written materials and presentations, maintain records and files, and coordinate work activities with officials and staff within the Office and in other organizations.

Education
