Help

The incumbent will serve as the Program Support Specialist to the Special Agent-in-Charge (SAC) and Assistant Special Agents-in-Charge (ASACs) for the Western Field Operations (WFO) team of the US Department of Energy, Office of Inspector General, Office of Investigations performing the following duties:

  1. Review correspondence and documents prepared for signature, and manages resources of space, coordinating an facilitation of maintenance, and repairs, specifically for Albuquerque Office, but assists other Western field offices. 
  2. Prepare travel authorizations, travel arrangements, prepare itineraries, and make reservations, and assist staff with travel questions/issues as necessary, and serve as a facilitator with Office of Management staff responsible for Concur.
  3. Compose correspondence, determining appropriate routing; following up to ensure timely action and review all outgoing correspondence for neatness, accuracy, and adherence to format and supervisor's personal style.
  4. Prepare/process a wide variety of documents, including letters, memoranda, and regularly recurring and special reports, frequently involving investigations specialized terminology; assuring the proper format, spelling, grammar, punctuation, and distribution.Coordinate shipments and mailings, to include shipping specialized items such as weapons and ammunition.
  5. Oversee the Records Inventory and Disposition Schedules for the Albuquerque Investigations Office, and other WFO offices.
  6. Assist in managing and addressing budgetary needs, to include forecasts and reconciliations as needed; securing space for conferences held on and off site, schedule overnight stays, and planning the technical equipment needed.
  7. Receive visitors and telephone calls to the SAC and other staff members.
  8. Deals with classified materials, requirements and facilitates obtaining materials and equipment for Special Agents to conduct classified work & protect classified information.
  9. Administratively assists with various personnel documentation, including preparing, coordinating, and tracking a broad range of personnel actions, such as awards, promotions, position descriptions, hiring and assisting newly hired/departing employees.
  10. Works with GSA to obtain new Government Vehicles ensures Law Enforcement Equipment is added/removed from GOVs all within budgetary requirements.

Qualifications

Applicants may qualify for this position based on a combination of education or specialized experience. Applicants must possess 1) a masters degree, or 2) two full years of progressively higher level graduate education leading to an LL.B. or J.D. or equivalent doctoral degree. or 3) one full year of specialized experience equivalent to the GS-7 grade level. Applicants using education to qualify for this position, must submit a copy of their college transcript showing hours and grades, and degree completed. Education completed in foreign colleges and universities may be used if the institution has been accredited by an organization recognized by the Department of Education.

Examples of specialized experience include: 1.) Managing a budget for travel, training and procurement. 2.) Managing resources and space, conference planning, making travel arrangements, maintaining office files, submitting procurement and/or small purchase requests and preparing and controlling correspondence. 3.) Reviewing investigative reports a managing law enforcement vehicles, working with and/or managing classified materials for investigations; providing assistance to, interacting with and geographically dispersed workforce/offices; managing specialized shipments of materials, weapons, ammunition or classified materials.

  3. Skills using personal computers for word processing, various spreadsheets, electronic mail, travel management, training and budget.
  4. Ability to communicate orally.
  5. Knowledge of law, regulations, policies and procedures which affect the use of program and related support resources.
