Duties

Help

  1. Assisting the office chief and deputy chief in collecting data, developing statistical reports, preparing presentations, and keeping information up to date.
  2. Tracking the status of office projects and producing status reports and summaries for the office chief and deputy chief.
  3. Compiling and editing weekly updates from office staff and drafting weekly summaries for the chief and deputy chief.
  4. Performing an extensive array of administrative tasks for the office chief and deputy chief including, but not limited to, creating travel authorizations and vouchers; scheduling and supporting meetings (in person, by phone, and by video); creating, editing, and tracking correspondence; and managing multiple calendars.
  5. Planning conferences by arranging and executing logistical requirements including, but not limited to, assisting with developing the requirements, preparing requests for proposals, assisting with evaluating proposals once received, contacting properties to determine availability, maintaining rooming lists, participant rosters, printing orders, and issuing travel authorizations.
  6. Using Microsoft Office 365 to maximize productivity and efficiency.
  7. Delivering mail and providing office phone coverage.
  8. Communicating effectively, both orally and in writing.
  9. Providing quality customer service.

  3. All new AO employees will be required to complete a FBI fingerprint-based national criminal database and records check and pass a public trust suitability check.
  4. All new AO employees must identify a financial institution for direct deposit of pay before appointment.
  5. You will be required to serve a trial period if selected for a first-time appointment to the Federal government, transferring from another Federal agency, or serving as a first-time supervisor. Failure to successfully complete the trial period may result in termination of employment.
  6. If appointed to a temporary position, management may have the discretion of converting the position to permanent depending upon funding and staffing allocation.
  7. Relocation expenses may be provided, but only if authorized by the Director of the AO.

Qualifications

Applicants must have demonstrated experience as listed below. This requirement is according to the AO Classification, Compensation, and Recruitment Systems which include interpretive guidance and reference to the OPM Operating Manual for Qualification Standards for General Schedule Positions.

Specialized Experience: Applicants must have at least one year (52 weeks) of specialized experience which is in or directly related to the line of work of this position. Specialized experience is demonstrated experience in administrative support, project planning, and communications support.

Additional Experience: Any experience working with CVENT or SharePoint is preferred, but not required.
