Help

The incumbent serves as the principal office clerical or administrative support position to the head of the organizational unit by assisting the supervisor, and in some cases, the subordinate staff of that individual. Maintains the daily calendar, making appointments and arranging conferences and meetings without specific prior approval, based on a knowledge of the manager's schedule. Determines need for memoranda to be issued to the staff on procedural materials and/or requirements, prepares the necessary instructions, and presents them for approval. Screens incoming directives and being alert to changes in policies and procedures. Performs typing on a computer keyboard wherein the work requires competitive level proficiency in typing as well as knowledge of office hardware and software systems. Utilizes a variety of office automation systems and various software packages to accomplish work. Utilizes knowledge of software utilities and function commands to manipulate text to accomplish formats, revisions, deletions, and additions. Attends meetings and conferences, taking notes or transcription of the proceedings within 5-business days. Assists in developing major presentations such as town hall meetings, veteran's group speeches, and special topic information. Screens all visitors and telephone calls. Performs other related duties as assigned.

Work Schedule: Monday - Friday, 8:00 a.m. - 4:30 p.m.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/05/2020.

Time-In-Grade Requirement:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-8 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

2. Selective Placement Factor Requirement:

Must be able to type 40 words per minute.

3. Specialized Experience Requirement:

One (1) year specialized experience equivalent to at least the GS-7 level in Federal Service is required. Examples of specialized experience would include: independently exercising exclusive control over appointments for an executive team member; establishing and adjusting priorities; rescheduling appointments as necessary; maintaining suspense systems to ensure items assigned for action are completed and submitted on time; reviewing correspondence and documents prepared for signature by an executive team member to ensure compliance with regulations, rules of grammar, format guidelines, and special policies of an organization; providing appropriate orientation for new secretarial/administrative support staff; and successfully dealing with unpredictable and often conflicting situations that may occur with various individuals of different organizational levels. Resume must demonstrate experience as listed in this paragraph.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is mostly sedentary in nature, requires non-routine walking, bending, and lifting of objects of 15-25 lbs.
