As a(n) Administrative Assistant for the Department of the Interior, Office of the Solicitor within the Division of General Law, located in Washington, DC some of your specific duties will include: 

Office/Administrative Support Duties:

  • Serves as a contact for administrative matters in the Office along with greets visitors/callers; distributes incoming mail.
  • Assists in establishing internal procedures for administrative operations.
  • Responds to information requests; compiles and summarizes data; and identifies inaccuracies or anomalies in the records.
  • Tracks, verifies, and certifies time and attendance for staff, resolving discrepancies when necessary.
  • Prepares correspondence, reports, briefings, legal documents, etc., for staff, ensuring compliance with applicable signatures, procedures and protocol.
  • Advises staff on travel rules, regulations, and procedures; prepares travel authorizations; makes travel arrangements; prepares or reviews travel vouchers; 
  • Develops and maintains accountability and security procedures for property and equipment; and purchases supplies, equipment, and services using appropriate methods.

Legal Support Duties:

  • Reviews, proofreads, and composes a variety of routine legal documents and office correspondence.
  • Establishes legal file, litigation files (evidence, documents, administrative proceedings material, civil cases, and criminal referrals), and other legal files for attorney staff.
  • Assists attorneys in researching pleadings, briefs, and other legal.
  • Screens legal publications, including advance reports, for items of special interest to either the staff attorneys, calling such items to their attention, especially current decisions, publications and press releases dealing with their area of responsibility.
  • Utilizes the law library, electronic research tools, legal references, case files, and other types of resources for research and provides background material to staff attorneys.
  • Maintains electronic case filing system to store and retrieve legal records.

Qualifications

Applicants must meet one of the following to qualify for the GS-6 level:

** Applicants must meet one of the following to qualify for the GS-6 level: One year of specialized experience in or directly related to this position that equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of this position. To be creditable, the required specialized experience must have been equivalent to at least the GS-05 level in the Federal service. Example of GS-5 level work: Performs standard and nonstandard assignments involving different and unrelated processes or methods in varying sequence; work requires extensive knowledge of rules, operations, or business practices. Follows accepted practices in resolving nonrecurring problems and meeting deadlines; completed products are evaluated for effectiveness in meeting goals; extensive guidelines in the form of instructions, manuals, and regulations are applied.

**OR applicants may substitute successful completion of 1/2 year of appropriate graduate level education (9 semester hours, 13.5 quarter hours or the equivalent) in a field of study directly related to the work of this position for the required one year of specialized experience. Graduate education may be credited only when it is clearly directly related to the work of this position and equipped the applicant with the knowledge, skills and abilities to perform successfully the duties of this position.

Applicants must meet one of the following to qualify for the GS-7 level:

**Applicants must meet one of the following to qualify for the GS-7 level: One year of specialized experience in or directly related to this position that equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of this position. To be creditable, the required specialized experience must have been equivalent to at least the GS-06 level in the Federal service. Examples of GS-6 level work: 1) Processes a wide variety of transactions subject to different sets of rules and regulations. Regarded as an expert source of information on processing transactions; completed work is reviewed for conformance with policy and regulatory requirements; numerous and varied guidelines are adapted and applied; 2) Performs a segment of the evaluative work of an administrative function; identifies issues or problems and seeks alternative solutions consistent with applicable regulations. Works independently in completing assignments; completed work is reviewed for effectiveness in meeting goals; guidelines such as regulations, evaluation criteria, and precedents have gaps in specificity.

**OR applicants may substitute successful completion of 1 year of appropriate graduate level education (18 semester hours, 27 quarter hours, or the equivalent) in a field of study directly related to the work of this position for the required one year of specialized experience. Graduate education may be credited only when it is clearly directly related to the work of this position and equipped the applicant with the knowledge, skills and abilities to perform successfully the duties of this position.

**OR a combination of appropriate specialized experience (as described above) and graduate education (as described above) that is beyond the first 1/2 year of progressive graduate study to meet the qualification requirements. Applicants must meet one of the following to qualify for the GS-8 level:

**Applicants must meet the following to qualify for the GS-8 level: One year of specialized experience in or directly related to the position to be filled that equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. To be creditable, the required specialized experience must have been equivalent to at least the GS-7 level in the Federal service. Examples of GS-7 level work may include: 1) budgeting, purchasing, supply management, personnel administration, data processing, and files management, and performs staff support work in each of these areas. 2) collects data for the office operating budget, reviews submissions of office staff assistants for proper format and compliance with agency budget requirements, sets up controls to monitor expenses during the year. 3) updates the office’s supply sources catalogues; purchases supplies, equipment, and services through open market purchase by blanket agreement, cash or field purchase order, or similar methods. For examples 1-3, the supervisor makes assignments by defining objectives, priorities, and deadlines. The employee works independently, using a general understanding of the expected outcomes and the scope of assignments, and draws upon experience in resolving the more difficult situations that occasionally arise. The work is reviewed for technical accuracy, soundness of judgment, and adherence to program requirements and objectives.

**Typing Proficiency Requirement: In addition to meeting the qualification requirements described above, applicants must possess a typing speed of at least 40 words per minute with 3 or few errors, based on a 5 minute sample
