Help

The position provides advice and counsel on a range of straightforward administrative and operational management support issues in support of the Mental Health (MH) Service organizational units (MH Administration, Psychiatry/Medical Director, Psychology/Behavioral Health, Chief of Nursing and Comprehensive Homeless Center Programs). The incumbent performs office automation support using multiple automated programs and software; such as databases, spreadsheets, graphics charting, and multi-media computer equipment/devices in support of the administrative and clerical work for the assigned work area. Additionally, performs various alternate ADPAC (Automated Data Processing Applications Coordinator) duties for their assigned organizational unit and assists the MH Service ADPAC as needed. Duties include, but are not limited to:

  • Develops standard operating procedures for administrative processes of the service.
  • Update and maintain time and attendance reports.
  • Initiates personnel actions into a database.
  • Functions as the office alternate ADPAC, troubleshoots technical problems users have with software packages and hardware issues.
  • Submits equipment and supply requests into a computer system.
  • Directs, advises and trains administrative staff engaged in providing administrative support.
  • Transmits and receives documents and messages electronically using personal computers or workstations that are networked or linked to other computers or workstations (i.e. Outlook, SharePoint, shared drives).
  • Transcribe minutes timely and in the proper format.
  • Proofreads/edits correspondence and documents for correct grammar, spelling, capitalization, punctuation, and format.
  • Answers substantive non-technical requests for information which can be provided based on information from records and files or personal knowledge of the program.
  • Locates and selects appropriate references and procedures for application to specific questions.
  • Prepares a wide variety of recurring and nonrecurring correspondence, reports, vitae, research manuscripts, training brochures, research proposals, psychological evaluations, workshop questionnaires and other related material and other documents and reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts.
  • Consolidates and finalizes information for various reports in accordance with established procedures.
  • Establishes, maintains, purges, and disposes of files and records in accordance with established regulations and procedures.
  • Schedules and coordinates meetings and/or conferences utilizing teleconferencing and/or video conferencing.
  • Utilize Meeting Planner to identify available conference rooms.
  • Utilize Outlook Calendar to send and receive meeting invites.
  • Uses database or spreadsheet software to create, enter, revise, sort or calculate, and retrieve data for reports.
  • Uses graphic software to provide graphs and charts for reports and presentations.
  • Reviews and finalizes correspondence/documents prepared by others in handwritten or electronic drafts.
Work Schedule: Regular Monday-Friday 0800-1630 hours.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/20/2020.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS 6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: Assisting in the development, establishment, and maintenance of office procedures to ensure effective and efficient operations regarding the administrative, clerical, and procedural work of the office. Schedules conferences and meetings for the various committees/conferences. Prepares and submits work orders. Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Functions as the office alternate ADPAC, troubleshoots technical problems users experience with software and hardware. Make travel arrangements, such as scheduling transportation, making reservations, and preparing travel orders and vouchers, based on general travel intentions, known preferences of traveler, and in accordance with appropriate travel regulations. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements:
The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
