Duties

Help

This position is located in Patient Care Services, Office of the Associate Director at the VA Medical Center in Erie, PA.

  • Crafts documents for signature with minimal review, review documents for the supervisor, and design/implement office administrative processes.
  • Manages, monitors, and maintains the currency and accuracy of performance standards, functional statements, competencies, orientation, and position description for staff in the service line.
  • Establishes and maintains the supervisor's correspondence files and documents concerning pending investigations, subordinate personnel, and similar subjects.
  • Receives all nursing employment applicants for candidates and perform follow up with human resources on completion of requirements for hiring.
  • Coordinates nursing recognition and strategic planning events.
  • Develops and administer an effective document filing system.
  • Provides administrative support to other executive leaders and their clerical staff as needed.
  • Screens publications, directives, and periodicals and distribute to appropriate functional components.
  • Prepares outlines and presentations for supervisor to attend meetings or speaking engagements internally and externally.
  • Creates reports and updates of data or projects related to strategic plans or performance plans.
  • Responds to inquiries and administrative problems on a multitude of routine and complex issues.
  • Performs other duties assigned as it relates to the position.
Work Schedule: Monday - Friday 7:30 - 4:00 p.m.

Qualifications

TO QUALIFY FOR THIS POSITION YOU MUST MEET THE FOLLOWING CRITERIA:

SPECIALIZED EXPERIENCE GS07: Possess one (1) year of specialized experience at the next lower grade level. Specialized experience is defined as experience working in an office environment coordinating the administrative and clerical work, maintaining and monitoring established schedules, arranging conferences and meetings, screening calls and visitors, collecting data and preparing reports, establishing and maintaining files, reviewing and drafting correspondence with correct grammar, spelling, and punctuation, utilizing office automation software such as Microsoft Office (Word, Excel and PowerPoint).

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: Majority of duties are performed in the Executive Suite, with occasional meetings in various areas of the Medical Center. The incumbent's work is mostly sedentary, however, some walking, standing, bending and carrying light items is required. Because of intensity of the Executive Suite activity, the incumbent is routinely subjected to high stress situations and may occasionally require him/her to stay after regular hours to complete necessary work. The work is performed primarily in an office setting with adequate lighting and temperature,
but sometimes includes classroom and conference areas of the Medical Center. Work includes the everyday risks and discomforts typical of offices and meeting rooms. Environment can become uncomfortable when dealing with irate individuals by either phone or in person when they call or present to the Executive Suite.


Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
