Duties

Help

Greets stakeholders at the reception area for Primary Care Service, identifying concerns and referral to appropriate party for resolution.
Answers multiple phone lines and handles patient concerns through advocacy or referral to appropriate staff for assistance.
Maintains files per retention guidelines. Reviews correspondence and/or reports for accuracy, proper formatting, grammar, spelling, and punctuation.
Produces a wide variety of statistical data, prepares spreadsheets, databases, word documents using appropriate software.
Performs a variety of special projects and tasks as assigned by service chief or supervisor.
Schedules patient care using Electronic Wait List and other processes to meet the directive.
Coordinates administrative details and activities for the service chief related to statistical reports, meetings, and duties assigned.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/27/2018.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:
· Specialized Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Office Manager; Receptionist; Timekeeper; Scheduling supervisory calendar; Conference planning; Fund Control Point; Veteran services and eligibility; Telephone customer service; Correspondence; Meeting minutes; Equipment Liaison.

The incumbent should also exhibit the following Knowledge, Skills, and Abilities (KSAs), but not limited to :

  • Provide staff advisory service in administrative areas to operating officials and clerical support.
  • Collect, compile and track data and statistical information in the support of the Clarksville CBOC.
  • Performs administrative work on monitoring and maintenance of records.
  • Upkeep historical files, organizational charts and staff personnel files.
  • Answer/screen telephone calls and answer inquiries from stakeholders concerning operational issues.
  • Participate in Service Recovery for the Clarksville CBOC.
  • Display excellent customer service skills when dealing with staff, co-workers, applicants, supervisors, management, union representatives, government representatives and the general public.
  • Maintain record of all funds allocated to Clarksville CBOC to include obligations, commitments and net balance and complies with all applicable guidelines, rules and regulations and procedure for fund control point management.
  • Process incoming/outgoing materials including correspondence, reports and memorandums and other forms of written communication.
  • Identify and recommend methods of eliminating, consolidating, simplifying or improving procedures and processes.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.

You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work Is mostly sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light Items such as papers, files, books, etc. No special physical demands are required to perform the work.

Education

There is no educational substitution at this grade level.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
