Summary

This position is located in the Office of the Academic Dean, United States Merchant Marine Academy, Maritime Administration (MARAD).

This position is established to provide clerical and administrative support to the Academic Dean. This includes carrying out and coordinating all the clerical and day-to-day administrative support activities which are typically required to accomplish the work of the organization.

Duties

Help

As a Staff Assistant (Office Automation), you will:

  • Receive visitors, faculty, students, and incoming telephone calls to the Office of the Dean. Provide administrative and operational information to callers and visitors.
  • Serve in a confidential capacity to the supervisor regarding faculty and staff.  Maintain and be responsible for collecting, filing, and safekeeping of academic faculty/staff files that include faculty portfolios, sabbatical and course-release requests, work schedule, and telework agreements, promotion and tenure documentation, performance evaluations, and other documents.
  • Coordinate the Midshipmen Academic Awards program by maintaining a list of awards and criteria, contact information for sponsors, and corresponding with sponsors and potential awardees.
  • Review all incoming correspondence, locate and attach appropriate files to incoming correspondence requiring replies. Screen all correspondence submitted by other departments and offices under the supervision of the Academic Dean for signature for clarity and completeness. Set up and maintain paper and electronic filing systems for records correspondence, and other material.
  • Plan and coordinate conferences and other academy events such as Academic Convocations, Dean's conferences, and other official functions, which includes an array of duties to include preparing the list of invitees and invitations, developing the agenda, arranging all logistical and administrative support such as venue, seating, food, and travel are required. 

IDEAL CANDIDATE: Possess the ability to provide administrative support to a fast pace environment, work with all levels of management, employees, students and stakeholders to provide excellent customer service.

CONDITIONS OF EMPLOYMENT:

  • SELECTIVE SERVICE: Males born after 12/31/1959 must be registered for the Selective Service.
  • PROBATIONARY PERIOD: You must complete a one-year probationary period (unless already completed).
  • TIME-IN-GRADE: - Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions contained in 5 CFR 300, Subpart F.

Qualifications

To meet the minimum qualifications for this position, you must meet the specialized experience requirements for the grade at which you are requesting consideration.

To qualify for the GS-08 on Experience, you must have one year of equal or equivalent to GS-07, it must include: 

  • Experience performing administrative support to the highest level of authority in the office and stakeholders.
  • Experience maintaining calendar, making travel reservations, scheduling meetings, receiving visitors, and preparing and following up on pending or required correspondence actions.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social).  Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.  You will receive credit for all qualifying experience, including volunteer experience.

Students enrolled in a qualifying degree program can apply if the anticipated graduation date is within six months of closing date of the announcement. Graduation transcript must be received before start date.
