The incumbent will assist the Administrative Officer (AO) with performing management advisory services related to manpower, human resources, resources management, equipment management, space utilization, travel, security, budget, purchases and records management.

Duties

Help

Duties as an Administrative Support Specialist include but are not limited to:

Assists the AO in formulating, justifying, and executing the annual administrative budget which includes monies for equipment, supplies, services, publications, magazines, training costs, and any projected building renovations.

Serves as one of the Property Accountability Officers for accountable property; maintains required controls and records, conducts or oversees inventory, in accordance with applicable policy and regulations.

Maintains the calendars for the CoS and/or Deputy CoS. Schedules meetings, interviews, teleconferences, video teleconferences, and coordinating conference room reservations.

Assists the AO with serving as liaison for human resources and manpower matters by maintaining a close working relationship with human resources specialists.

The incumbent must adhere to the DoD Standards of Conduct.

Position has been designated as Noncritical Sensitive. Incumbent is required to obtain and maintain a Secret security clearance.
If you have not previously successfully completed a probationary period with the federal government in a similar position, you will be required to serve a two-year probationary period.

Incumbent is required to submit to urinalysis to screen for illegal drug use prior to appointment and is subject to random drug testing for the duration of service with Department of Defense (DoD) OIG. Organizational entities with the DoD are not required to conduct drug testing for DoD civilian employees moving by transfer or reassignment from one DoD Testing Designated Position (TDP) to another TDP with no break in service within the DoD, unless deemed appropriate on a case-by-case basis by the gaining Component.

Military retirees seeking to enter civil service in the Department of Defense now require a waiver if they are within 180 days following their official date of retirement (5 United States Code 3326.).

You may qualify for the GS-09 level, if you fulfill one of the following qualifications requirements:
Specialized Experience: You must have at least 52 weeks of specialized experience at the GS-07 level in the federal service or at an equivalent level. Specialized experience is defined as: Utilizing administrative policies to provide technical and administrative support to office. Applying technical procedures relating to budget, training, travel, property and supply. Preparing and reviewing correspondence, documents and reports to ensure accuracy of grammar and format and compliance with relevant policies in written products. Analyzing and verifying data and producing reports to perform tasks budget, training, travel, time and attendance and other administrative areas. Using MS Office and automated systems used for budget, training, travel, time and attendance and other administrative areas, and to prepare electronic mail, correspondence and spreadsheets. Working with all levels of management and staff to coordinate work and provide information; or (B) aMaster's degree or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree, or I possess an L.L.B. or J.D. that is related to the work of this position; or (C) acombination of the specialized experience and education to meet the experience requirement.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills, and can provide valuable training and experience that translates to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Knowledge of trends and agency long-term initiatives to include areas outside the administrative/human resources arena. Understanding of upcoming programs and activities that may affect manning and funding.

Ability to identify problem, and potential problem, areas based on daily observance or studies; analyze and measure the effectiveness, efficiency, and productivity of administrative programs; and to develop written and oral recommendations for improvement.

Knowledge of administrative and management concepts, principles and practices sufficient to foresee problems and perform independent studies to evaluate procedures/processes. Develops and recommend ways to improve the effectiveness, efficiency, and timeliness of work operations.

Ability to communicate effectively orally and in writing along with skill in developing and maintaining effective interpersonal relationships. Knowledge of routine office procedures; common clerical practices; and command of grammar, spelling, punctuation, and required formats sufficient to recognize and correct such errors in correspondence and reports.

Ability to deal effectively with civilian senior officials and high ranking military personnel.
