This position functions as an Administrative Support Assistant in the Executive Suite of the Medical Center Director for the Chief of Staff (COS) with responsibility for providing executive level administrative support to the Chief of Staff, his/her immediate staff and all clinical services as appropriate. The incumbent provides primary support to the Chief of Staff and secondary support to the Executive Assistant and the clinical service chiefs.
Duties include but are not limited to:
independently coordinates many administrative duties for the chief of staff that requires initiative, flexibility and sound judgement
establishes daily workflow by working with the Medical Center Quad and their staff to ensure efficiency and timeliness of administrative functions
establishes and maintains the work schedule of the Chief of Staff
arranges extensive travel and lodging accommodations for their Executive Staff as appropriate
plans and carries out the administrative functions of the Office of the Chief of Staff to include but not limited to coordination of meetings, creation of agendas and compilation of background material for various work issues
advises the Chief of Staff daily of pertinent matters arising during their absences and brings attention to significant items in reports, files and correspondence which developed during his/her absence.
performs work involving the collection, compilation, and/or tracking of data in support of administrative program operations
composes routine and executive level correspondence
as Designed Records Liaison Officer for the Office of the Chief of Staff, the incumbent will be responsible for filing, as well as establishing and maintaining files, including storage and disposition
comprehends and applies instructions relative to administrative concerns
evaluates circumstances, makes recommendations for alternative situations, executes actions as appropriate and performs other duties as assigned

Physical Requirements: The work is primarily sedentary . No unusual physical demands are required.
Time-in-grade: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. For a GS-08 position you must have served 52 weeks at the GS-07 level
Qualifications

Specialized Experience:
