If selected, you will be responsible for receiving and reviewing completeness of a variety of documents submitted by inspectors. Due to the nature of the work performed, the supervisor and inspectors are required to be out of the office for extended periods of time, necessitating that the applicant work independently to ensure the continued efficiency and effectiveness of the function of this office.
You will ensure completed reports and any additional relevant information, including special assessment review form packages are complete, and comply with proper MSHA format, and are forwarded to the District in a timely manner. The Assistant researches, gathers, and assembles information for use by field office staff in special projects, evaluations, conference, and meetings, etc., using various sources such as, but not limited to, the MIS , mine files, and internet. Receives calls and visitors, and determines those which he/she can personally handle, referring others to the appropriate field or district office staff.
You will keep close contact with the supervisor when out of the office in order to plan, coordinate, and advice on work efforts or to resolve operating problems. Keep a log of all calls and visitors in supervisor's absences in order to brief him/her via telephone or upon return to the office.
You will be required to receive, review, and distribute incoming correspondence. Expedite record-keeping, tracking, and production of documents, using MSHA- specific automated systems. Use standard formats or software functions to set up standards documents or format styles that can be retrieved as needed. Develop methods for automating reports, considering the interrelationships and multiple uses of the data, such as accident reports, preparation of performance standards and evaluations, and a variety of monthly, quarterly, and annual reports. You will assist inspectors in downloading mine data and Agency directives from the mainframe to the desktop and inspector laptop computers.
Finally, you will perform a variety of administrative functions, e.g., positing and maintaining time and attendance records, preparing necessary personnel documents, requisitioning, and distributing supplies, preparing mileage reports, tracking individual and safety awards etc. Arranging conferences and appointments for the Office following up with staff members to insure that commitments are met.

Applicants must have 52 weeks experience at the next lower level in the normal career progression of the position being filled. When compared to Federal experience, this experience must be equivalent to at least the next lower grade level of GS-5. This experience may have been gained either in the Federal or Private sectors, demonstrating a practical knowledge of the rules and regulations governing the Federal Mine Safety and Health Act of 1977 and the Freedom of Information Act (FOIA) in order to provide technical and administrative support.
Examples of specialized experience include:
1) Researching, gathering, and assembling information for use in special projects, evaluations, conference, and meetings, etc., using various sources;
2) Utilizing advanced functions of various office software packages (e.g. word processing, database, spreadsheet, electronic mail or graphics) to produce correspondence, reports, statistical summaries and data lists in support of the program functions.
3) Performing a variety of administrative functions such as sending/retrieving correspondence, answering phone calls, maintaining time and attendance records, personnel documents, making travel arrangement, preparing travel vouchers, arranging conferences/ meetings, greeting and directing visitors and maintaining schedules;
4) Communicating effectively, both orally and in writing, to provide and receive information from a variety of internal and external contacts.
