Help

The successful selectee will perform the following duties:

  • Preparing a variety of documents, including memorandums, letters, emails, reports, spreadsheets and presentations. Reviewing correspondence prepared by others for content, correct grammar, spelling, capitalization, punctuation, and appropriate format.
  • Performing a variety of administrative support duties; making travel arrangements, receive telephone calls and visitors and order office supplies.
  • Maintaining both the Department Head and Deputy's calendar, scheduling appointments and meetings.
  • Establishing, monitoring and improving clerical and administrative processes within the department, including filing of records and record management.
  • Developing methods for automating reports and data call responses utilizing a variety of office automation software. Using word processing to prepare spreadsheets, presentations, flow charts, edit documents, reports, phones list and mailing lists for organization.
  • Assisting in managing time entry for employees and ensure use of appropriate charge numbers by specified time requirements weekly.
  • Ensuring notifications are sent to employees on mandatory training delinquencies and other administrative requirements.

Qualifications

In order to qualify for this position, your resume must provide sufficient experience and/or education, knowledge, skills, and abilities to perform the duties of the specific position for which you are being considered. Your resume must demonstrate at least one year of specialized experience at or equivalent to the NG-02 (GS-05/06 equivalent) pay band in the Federal service or equivalent experience in the private or public sector as a Secretary or as the principal clerical or administrative support position in an office. Examples of qualifying experience may include: drafting, proofreading, or editing correspondence; completing a variety of administrative tasks using office automation equipment and software; maintaining records or files; maintaining calendars for management; scheduling meetings; greeting visitors and answering phones; arranging travel.

This position requires the ability to type at least 40 words per minute.

You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
