Help

  • The incumbent provides administrative and clinical care coordination support to clinicians and other administrative and professional staff for purposes of coordinating Non-VA medical care for veterans when inpatient and outpatient, and their VA provider has deemed such care necessary.
  • The Office of Community Care program requires administrative scheduling and appointment coordination for diagnostic testing, and consultative appointments for many clinical services.
  • Works closely with the Community Care Coordination Nurse to ensure proper authorizations are issued and appropriate correspondence is sent to vendors.
  • Acts as a liaison between the veteran and the vendors with regard to Community Care and VA clinical services and/or primary care services.
  • Responsible for the coordination of all administrative information between the professional staff and the patient including but not limited to: demographic information, data entry, administratively managing consultation requests and the consult pending list in VistA and making and notifying the patient of their scheduled appointment with the outside provider.
  • Provides advisory and technical assistance to the veterans and staff in answering questions related to OCC processes
  • Utilize FBCS, VistA, CPRS and other related systems to refer, manage and coordinate appointment management with the creation of authorizations as outlined by the OCC standard operating procedures.
  • Collaborate with internal and external customers
  • Reviews records for administrative criteria ensuring compliance with established standards.
  • Advises clinical personnel and/or management of trends and recommends changes as appropriate. Incumbent will screen/receive phone calls in a courteous and timely manner, determine the nature of requests and provide the information desired using privacy rules and established processes.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/17/2025.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:

GS-6 Grade Requirements:
SPECIALIZED EXPERIENCE: Must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Thorough knowledge of directives for outpatient scheduling processes and procedures, priority scheduling for outpatient medical services and inpatient hospital care; general knowledge of other fee functions such as fee basis notifications, authorizations, appeals and other fee regulations; basic medical terminology, skill in operating computer systems and applications, such as Microsoft applications and patient scheduling software; thorough knowledge of eligibility for medical care and program eligibility, priorities for care, release of information, HIPAA laws, and medical fee basis programs; advanced skill in compiling readily available data from prescribed sources; knowledge of the organization to search records, files, or electronic data banks to locate information and verify information given; and skill in communication and interpersonal relations, including the ability to appropriately and courteously relate to internal and external customers.
