Summary

The Greater Los Angeles Health Care System is currently recruiting 1 Lead Medical Support Assistants within the Care in the Community (CITC) located at Sepulveda Ambulatory Care Center, 16111 Plummer St North Hills, CA 91343. The incumbent Provides administrative coordination of patient care and appointments and logistical factors associated with direct patient care, inpatient and outpatient, related to the coordination of care between the VAMC and outside facilities, both VA and Non-VA.

Position(s) located at (Sepulveda VA Clinic) 16111 Plummer St. North Hills, CA 91343

Duties include but not limited to:

  • Make work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow.
  • Monitors daily staffing levels and ensures equal distribution of workload, coverages on a daily basis.
  • Assist the program manager with developing contingency plan for data transmission.
  • Maintain suspense files necessary for monitoring the processing of consults.
  • Identify backlogs in workloads and potential procedural problems by observation of the activities of the Advanced Medical Support Assistant's.
  • Provide weekly, monthly and quarterly reports within established time frames and report to the supervisor.
  • Perform spot checks to ensure that all Advanced Medical Support Assistant's are processing consults, following the NVCC/Choice procedures and guidelines and ensuring appropriate authorization are entered if required utilizing the correct Fund Control Point obligation number and correct cost estimations.
  • Collaborates, communicates, set priorities and organizes the work in order to meet deadlines, ensuring compliance with established processes, policies and regulations.
  • Screens new consults for non-VA care for eligibility, specialty service requested duplication and appropriateness of sending patients to community provider.
  • Review the work of full performance and developmental AMSA's for accuracy, completeness, using correct laws and directives.
  • Demonstrates advanced knowledge of the technical health care process as it relates to access to care.
  • Assures authorization is obtained from appropriate service chief for procedures performed at non-VA facilities.
  • Completes multiple assignments varying in degree of difficulty to ensure patient needs are met, reducing internal transfers, and reducing barriers to unnecessary delays and patient care diversions.

Qualifications

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Experience and Education.
  • (1) Experience. Six months experience of clerical, office, customer service, other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
OR,
  • (2) Education. One year above high school;
OR,
  • (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
  • English Language Proficiency: Must be proficient in spoken and written English.
  • Grandfathering Provision. All MSAs employed in VHA in this occupation on the effective date of this qualification standard are considered to have met all qualification requirements for the title, series, and grade held, [which] are [a] part of the basic requirements of the occupation. For employees who do not meet all the basic requirements required in this standard, but who met the qualifications applicable to the position at the time they were appointed to it, the following provisions apply: (1) Such employees may be reassigned, promoted, or [changed to a lower grade] within the occupation. (2) Employees who are appointed on a temporary basis prior to the effective date of the qualification standard may not have their temporary appointment extended or be reappointed, on a temporary or permanent basis, until they fully meet the basic requirements of the standard. (3) If an employee who was converted to [Title] 38 hybrid status under this provision leaves the occupation, the employee loses protected status and must meet the full VA qualification standard requirements in effect at the time of reentry to the occupation.
  • Foreign Education. To be creditable, education completed outside the U.S. must have been submitted to a private organization that specializes in the interpretation of foreign educational credentials and such education must have been deemed at least equivalent to that gained in conventional U.S. programs

Grade Determinations:
In addition to the basic requirements, to qualify for the GS-7 grade level requires a minimum of one (1) year experience at the next lower grade level (GS-6).Do you possess the necessary experience equivalent to the GS-6 level? This experience includes: Working collaboratively in an interdisciplinary coordinated care delivery model (i.e. PACT, Specialty Clinics, C& P, Non VA Care) and performs receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients and maintains appointment schedules for all Non VA Care.
