Summary

The Architect of the Capitol (AOC) is seeking a highly organized and customer focused individual to serve as a Reservation System Coordinator in the Visitor Services Division of the Capitol Visitor Center (CVC). This position is responsible for managing the Advance Reservation System (ARS) to coordinate thousands of tour reservations for the U.S. Capitol, supporting congressional offices, tourism groups, and the general public.

Duties

Help

As a Reservation System Coordinator, you will manage daily Capitol tour reservations using the Advance Reservation System, ensuring accurate scheduling, resolving conflicts, and supporting congressional offices and the public in a fast-paced visitor environment.

Major Duties:

Reservation Coordination and Program Support 

Input and maintain large volumes of reservation data in the ARS for Capitol tours.

Schedule and manage reservations for Members of Congress, VIPs, and the public.

Provide expert guidance to visitors and staff on booking procedures, arrival logistics, and prohibited items.

Distribute walk up tour passes at the CVC Information Desks and manage staff coverage at walk up posts.

Track and analyze visitation patterns and generate reports on tour availability and inventory.

Resolve scheduling issues and accommodate special requests.

Liaison Communication and Problem Solving 

Serve as liaison with congressional offices and tourism organizations to address tour needs and resolve scheduling conflicts.

Collaborate with Visitor Services staff and supervisors to maintain smooth visitor flow.

Offer solutions and recommendations to improve reservation processes and the visitor experience.

Use handheld radios and participate in team meetings to coordinate tour operations and safety protocols.

Program Support Services

Maintain visitation and reservation reports, including the development of spreadsheets and tracking documents.

Support administrative functions such as data entry, supply monitoring, and document preparation.

Greet and assist visitors, including arranging for accessibility accommodations and managing group logistics.

You must meet the United States Office of Personnel Management's (OPM) qualification requirements (including specialized experience and/or educational requirements) for the advertised position. Specialized experience is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level.
 
Candidates for the GS-08 grade level must have at least 52 weeks of specialized experience equivalent to the GS-07 grade level in the Federal service.

Specialized experience for this position includes:

  • Scheduling and managing reservations for tours or events using a computerized system.
  • Performing administrative support duties, such as data entry, maintaining records, preparing reports, or tracking inventory.
  • Coordinating group logistics to support smooth visitor flow within a specific timeframe.
  • Communicating effectively with customers and external stakeholders by answering questions and resolving service issues.
