MAJOR DUTIES:

Coordinates and performs a wide variety of responsible administrative functions in support of the management and operation of Marine and Family Programs (MFP) Division. Performs administrative duties requiring discretion, independent judgement, and confidentiality. Reports directly to, and may be delegated signatory authority for select administrative matters for, the Director, Marine and Family Programs.

Program Administrative Support Activities

  • Monitors progress of projects, data calls and audit inspection finding and resolutions.
  • Organizes flow of operational program processes in an office environment and develops internal policies, procedures and work methods affecting administrative management operations; facilitate methods for automating reports and correspondence.
  • Establishes and maintains a tracking system to ensure timely responses and status of actions on tasks, projects and program operations and evaluates possible corrective courses of action.
  • Ensures accuracy and format compliance of routed submissions by managers and supervisors by reviewing and revising studies, reports and correspondence and enforcing and training employees on proper naval correspondence, spelling and grammar. 
  • Collects, compiles and organizes information and data to prepare reports and maintain data collection systems and forms to meet administrative requirements.
  • Establishes and maintains an electronic records management system within shared networks, web portals, and revising and disposing of files in accordance with regulations.
  • Coordinates preparation of monthly, quarterly, and annual data reports.
  • Serves as MFP purchase card holder and procurement authority for Contract Lifecycle Management requests and purchases.
  • Prepares a variety of correspondence and directives for MFP in accordance with available guidelines and instructions and ensuring accuracy of spelling and grammar, and transmit correspondence, create reports, databases, spreadsheets, graphics, slide shows and presentations.
  • Regularly reviews MFP forward-facing web site pages for administrative accuracy and prepare corrective action reports.
  • Maintains and monitors MCCS internal events calendar and marketing requests for MFP 

General Administrative Oversight

  • Receives telephone calls, visitors, comments, and outside contacts and directs them to the appropriate section contacts when necessary.
  • Routes incoming mail to staff and work sections and receives and delivers messages to staff members. 
  • Attend meetings, take minutes and transcribe notes to prepare detailed summary reports.
  • Perform support functions such as maintaining stock of office supplies, making arrangements for special events; monitoring and distributing personnel paperwork such as selection and recruitment requests, personnel actions, training notices, performance reviews, position descriptions, and individual development plans. 
  • Initiate and track work orders.
  • Ensure OPSEC and Privacy Act compliance.

Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.  Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.

Performs other related duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required

Qualifications

MINIMUM QUALIFICATIONS:  

Bachelor¿s Degree in Business Administration or a related field appropriate to the work of the position, or an appropriate combination of education and experience that demonstrates possession of knowledge and skill equivalent to that gained in the above or three years¿ experience that demonstrates broad knowledge of administrative practices and principles. Skill to organize and coordinate multiple high visibility projects simultaneously. Skill to prepare documentation and presentations in proper format in accordance with naval correspondence rules of grammar and punctuation. Skill to operate a personal computer and associated peripheral equipment and software. Knowledge of a variety of support functions such as gathering statistical data, monitoring and reporting on support budgets, and maintaining stock of office supplies. Skill to deal with employees at various levels in the organization and to represent the division with customers external to the organization.

Must possess excellent oral and written communication skills. Experience with Naval Correspondence preferred. Knowledge of military structure and environment preferred. Must possess strong customer service skills and be able to tactfully communicate with all levels of military and civilian community. Must be an organized self-starter and possess a willingness to learn.
