Help

Major duties of the position includes but are not limited to:

  • You will screen calls and visitors to Primary Care, including ACOS and CNM office, handling, referring, or forwarding to the correct person as appropriate.
  • You will use advanced functions of numerous software products (such as MS Office programs) to input, process, sort data, and to produce a wide variety of documents, spreadsheets, and reports.
  • You will assist current and new staff on timecards, leave usage, MyPay, Overtime, Comp time, and any other payroll questions concerning their unique situations.
  • You will review incoming correspondence for primary care, determining proper action and prepares answers for ACOS and/or CNM signature, where warranted.
  • You will provide general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments or consolidating/coordinating submittals of information.
  • You will provide general clerical public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, as well as similar information.

  • You will research current processes and procedure for completing recruitment packets.
  • You will assist with coordinating space and equipment needs for Primary Care staff, as well as requesting appropriate computer access via NARS.
  • You will audit all Position Descriptions/Functional Statements for accuracy and proper formatting, grammar, verifies that all GS PD's have been reviewed and sent to VISN for coding when required.
  • You will research VA regulations and ONS policies to ensure that all performance appraisals and proficiencies are being completed properly, i.e. Latest VA Forms.

Work Schedule: Monday - Friday 8:00am - 4:30pm
Telework: Ad-Hoc may be authorized - VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications

To qualify for this position, applicants must meet all requirements by 30 days of the closing date of this announcement, 06/13/2023.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-5 position you must have served 52 weeks at the GS-4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative support to a department by utilizing databases to collect, identify and review data for developing reports or to resolve problems. Examples of specialized experience may include: preparing reports, or correspondence, VATAS timekeeping, maintaining budget records; maintaining calendars, appointments and schedules for services, minutes; using office equipment (such as: fax and copier machines, multi-line telephone, proficient in using computer systems and various software programs (such as: Excel, Access, Power Point, Publisher and ProClarity and, Automated Data Processing systems) and ordering supplies.

  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years above high school. NOTE: that education at the GS-5 or Above is Generally, not applicable unless directly related. Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation. OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education. Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: Work is generally sedentary. Most of the work can be performed while seated; however, there is walking, standing, bending, and lifting items such as paper, books, and small equipment (15 pounds) in the office or at events. Work requires the use of a keyboard and computer to perform duties. Flexibility is required to accommodate events and activities occurring in other than normal duty hours.
