Summary

The VA Pittsburgh Health Care System is currently recruiting for one full-time Program Support Assistant to serve in the Surgery Care Service Line. The Program Support Assistant completes and coordinates a wide variety of administrative, clerical, and customer service tasks essential to the executive administration of the Service Line. The Program Support Assistant reports to the Associate Chief Nurse within Surgery Service.

Duties

Major Duties and Responsibilities Include but are not limited to:

  • Manages administrative functions associated with perioperative care areas within the surgery service under the purview of the Associate Chief Nurse.
  • Exercises control and has continuing responsibility for projects, questions, or problems associated with overall administrative functioning of the Service.
  • Tracks and documents all administrative activities and requirements as assigned. Performs work related to the acquisition and/ or development of program information and resource materials/personnel to support management with policy development and/or technical activities of units.
  • Performs file or database searches to extract, summarize, and compile information required for the activities of the organization.
  • Provides general assistance with identified processes for acquisition of necessary resources/supplies. Enters prosthetics consults to replenish items utilized in the operation room. Maintains an orderly and adequate level of program supplies.
  • The incumbent is responsible for collecting data to support service recommendations concerning space, personnel, equipment, and fiscal matters.
  • Prepares space, personnel, and equipment requests and follows through on status of requests until resolved.
  • Manages Surgery Service Symplr vendor management system; verifies vendor status; contacts vendors with non-compliance of requirements and troubleshoot issues as they occur.
  • Manages a variety of clerical functions including but not limited to mail and calendar management, minute recording for Associate Chief Nurse. and Surgery Service Nurse Managers.
  • Tracking of Competencies and Proficiency submission and uploading for nursing personnel of Surgery Service.
  • Track Award submissions through completion. On-boarding of all new nursing personnel, coordinating with Human Resources and ADPACs to ensure that all steps and trainings are complete. Performs timekeeper duties as needed.
  • Performs at knowledge/skill level necessary to perform the job at an acceptable level AND applies this knowledge/skill to perform duties and responsibilities in completing the required work.

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:

  • General knowledge of medical terminology and use of English grammar, spelling and punctuation to correct obvious errors and to communicate with clarity
  • Skill in operating a computer, copier or scanner in a business office for the completion of but not limited to reports, correspondence and communication in performance of assigned duties
  • Skill in taking minutes at assigned meetings for future reference and distribution.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

There is no educational substitution for the GS-06 level.

COVID-19 Pandemic Expanded Telework Program - Due to COVID-19, VA is currently in an expanded telework posture. If selected, you may be expected to temporarily telework, even if your home is located outside the local commuting area.
