Summary

The Program Support Assistant position is part of the Geriatric Research, Education and Clinical Center (GRECC) team established to provide a wide variety of clerical, administrative and technical duties/responsibilities in a highly complex diversified, research and university-affiliated VA Health Care System. The incumbent also may work closely with Stanford University School of Medicine providing administrative support for the fellowship program.

Duties

Help

The major duties are as follows, but are not limited to:

  • Receives and discreetly screens all calls and visitors, obtaining accurate and complete information, and conveying messages promptly to the appropriate individual, which requires tact, diplomacy, and professionalism.
  • Assists in the planning, extensive data collection, compilation, review, and data entry of statistical information to the on-line electronic database.
  • Monitors and extracts research expenditures data through the ePromise (Enterprise Project Management Information System) database system.
  • Performs Control Point Clerk duties by ordering supplies, books, information technology equipment, and major equipment, etc., for staff, using varied computer programs.
  • Prepares forms required by Human Resources Management Service for all Visiting (non-Stanford) Residents and Medical Students, who rotate periodically.
  • Draft and prepare travel arrangements, travel authorizations, and expense reports online for the department Director and three Associate Directors.
  • Serves as Alternate Timekeeper by accomplishing daily input into the Time and Leave System (VATAS) for personnel.
  • Acts as a super administrator with MedHub and manage subsidiary databases and monitoring systems in that complements the MedHub system to ensure the fellowship operates smoothly.
  • Manages the electronic residency application service (ERAS) program director's workstation (PDWS) software.
  • Responsible for scheduling appointments for clinical activities, including clinical demonstration projects.
  • Monitor clinic appointment schedules for the department clinics the following month to verify if patients are in correct clinic/doctor; and make clinic appointment reminder calls to patients or their caregivers.
  • Keeps track of attendance at the weekly department training conferences and enters information onto the department's national SharePoint site.

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/30/2022.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. For the GS-07 position you must have served 52 weeks at the GS-06.The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

Specialized Experience for the GS-06: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
  • Skill in communicating with a variety of internal and external clients and customers;
  • Knowledge of an organization's mission and functions as well as program policies and procedures, rules and regulations;
  • Ability to a identify and analyze problems, using sound reasoning for resolutions;
  • Ability to manage projects.

  • Skill in communicating in a professional manner with a variety of clients and customers from within the organization and external customers.

Physical Requirements: The incumbent must have the ability to concentrate amid distractions and frequent interruption. The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, or small parts. The majority of the time will be spent at the desk working on the computer. Some travel to the Stanford campus periodically is required.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
