Duties

  • Provides secretarial support to the General Counsel performing administrative and clerical duties in support of the work of the General Counsel.
  • Prepares a wide variety of correspondence, reports, and other documents from handwritten drafts using office automation equipment, ensuring correct grammar, spelling, capitalization, punctuation, and format.
  • Maintains General Counsel’s daily calendar, establishes priorities, schedules meetings and appointments, accepts or declines invitations, and arranges for substitute representation.
  • Reminds General Counsel of appointments, obtains background information on subject matters, and presents information to supervisor prior to scheduled phone call, visit or meeting.
  • Receives and screens visitors and phone calls, determines nature of requests, refers callers or visitors to appropriate staff, or personally provides routine or procedural information.
  • Reviews correspondence on a variety of topics, such as requests for information, Congressional Inquiries or other sensitive matters, for signature/coordination by the General Counsel for grammar, spelling, capitalization, punctuation, and format.
  • Responsible for making General Counsel’s travel arrangements in Defense Travel System (DTS) based on travel intentions, preferences of traveler and in accordance with appropriate travel regulations.
  • Schedules and provides administrative support for in-house conferences and meetings.
  • Other duties as assigned in support of the Office of General Counsel.

Qualifications

One year of specialized experience equivalent in level of difficulty and responsibility to that of the next lower grade (GS-07) within the federal service, which demonstrates the ability to perform the duties of the position, is required.

Specialized Experience is defined as: applying knowledge of the rules, procedures, operations, organization, and functions of an organization sufficient to perform office support duties; providing guidance on administrative procedures; and applying administrative practices and procedures for managing correspondence or maintaining files.

A minimum typing proficiency of 40 WPM is required.

Time-in-Grade: Current or former federal employees who have held a GS position in the preceding 52 weeks, must meet the time in grade requirement. Applicant must have served 52 weeks as a GS-07 or higher grade in Federal Service.

You may qualify for consideration if meeting time-in grade, specialized experience, education requirement, 90 days after competitive appointment requirement, and all other qualification requirements within 30 calendar days after the closing date of the announcement, unless otherwise indicated on the announcement.

Education

Substitution of Education for Specialized Experience is generally not applicable above GS-05, but may be considered if it is directly related to the position being filled.

GS-08 Substitution of Education for Experience: Eighteen months of graduate level education may be substituted to meet the specialized experience required when it is directly related to the work of the position being filled. Equivalent combinations of successfully completed graduate level education and experience may be used to meet total experience requirements when the education is directly related to the position being filled.

To be creditable, education must have been obtained in an accredited college or university.   • Moving expenses will notbe paid.
  • Telework availability is limited and will only be provided on a rare case-by-case basis during situations where Agency Leadership has determined that telework serves a compelling DoD need.
