Under the direction of the Installation Fleet & Family Readiness (IN9 FFR) Programs Director, is responsible for developing, evaluating, advising or improving information and documentation, directive management and management controls and/or obtaining a variety of management support services essential to the community support operations to be integrated with the general management of Fleet & Family Readiness Support.

Duties

Help

  • Responsible for developing, evaluating, researching, advising, improving and/or obtaining variety of management support services essential to the effective and efficient accomplishment of IN9 goals and objectives.
  • Provides administrative services and support to management and staff by performing analysis, research, statistical and secretarial duties.
  • Prepares reports and other statistical and financial data pertaining to recreation and club operations.
  • Compiles and types of statistical records and reports. Coordinates all administrative output from department.
  • Explains reporting procedures and requirement to managers, supervisors and employees.
  • Coordinates all department internal audits (payroll, property, etc.) and conducts/evaluates semi-annual facility inspections. Incumbent may also coordinate and serve as the primary assistant in the preparation and submittal of annual department wide APF and NAF budgets.
  • Plans the development of an organizational records management program which includes the methods and processes by which record material is created, how filing systems are maintained, and the organization's requirement for retention or disposal of records.
  • Screens incoming mail and attaches appropriate file to correspondence requiring action.
  • Determines action due dates on correspondence/reports, routes to appropriate managers/supervisor/employee for action and ensures that responses are returned in a timely manner.
  • Maintains accountability of all checks/payments received by mail. Sorts and delivers guard mail, message traffic and regular mail.
  • Responsible for composing correspondence and material by drafting presentory releases and quasi-legal documents as a result of researching references and past policy.
  • Directs and engages in the preparation of smooth correspondence, reports and instructions from rough drafts and corrected copy. Rewrites correspondence as required.
  • Maintains files on departmental regulations, directives, etc., and posts changes as required.
  • Provides information pertaining to operational activities to the IN9 Director.
  • Coordinates travel plans and schedules travel for the IN9 Director and managerial staff.
  • Coordinates Star Service training, the Center of Excellence program and other training needs of installation or program. May be responsible for coordination of special events for installation and/or serve as N9 Department Coordinator.
  • Primary Coordinator for ETMS2, ERP, eMH and other designated tracking and reporting systems for IN9.
  • Performs other related duties as assigned.

Qualifications

  • Skill in use of software programs to include word processing, spreadsheets, presentations and database software.
  • Excellent written and verbal communication skills.
  • Knowledge of business practices, operating procedures, and knowledge of body of rules, regulations and guidelines governing the functional area.
  • Ability to analyze and identify data.
  • Possess tact and diplomacy in dealing with all levels of personnel.
  • Knowledge of NAF budgeting.
  • Ability to maintain records and reports.

- Your application will be screened for the following minimum qualifications:

  • 3 years of progressively responsible office experience which demonstrates knowledge of general clerical procedures, administrative functions, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled
OR
  • One year of specialized experience at GS-05 equivalent level.

Applicants who meet the minimum qualifications will be further evaluated for:
  • Knowledge of N9 Fleet & Family or Morale, Welfare and Recreation procedures or operation
  • Experience in Office procedures and Customer Service
  • Knowledge of Federal Records Keeping and procedures
  • Experience in Navy budgets and software programs and procedures (ex: SAP, RecTrac, FoodTrak, Micros, etc.)
