Summary

The incumbent serves as a Supervisory Medical Support Assistant in the Radiology Service where both outpatient and inpatient services are provided. The incumbent performs duties related to receipt, intake, and indexing of health and administrative information and supervises a group of Medical Support Assistants in the service to ensure the management of accurate patient care coordination. He/She/They will interface with personal computer applications and numerous Vista applications.

Duties include but are not limited to:

  • Participates in the formulation of plans and determination of goals with the service and conducts Continuous Quality Improvement reviews in program areas.
  • Delegates authority necessary to accomplish assigned programs, performing the full range of supervisory duties and responsibilities to effectively utilize the manpower and resources allocated to Radiology.
  • Responsible for the management of workload data related to all Radiology sections
  • The incumbent is responsible for following up on action taken items for all clinics.
  • Assists in projecting annual budget estimates for operation of medical administration activities.
  • Plans training programs for Medical Support Assistants, develops and maintains an efficient work force of employees which is an integral part of the clinic operation.
  • The incumbent directly reports to the Chief Technologist of Radiology Service who the incumbent partners with to plan work to be done, the scope of projects and deadlines for completion.
Work Schedule: Monday -Friday, 8:00am-4:30pm, occasional weekend coverage for staff may/may not be needed

Qualifications

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position;
Grade Determinations: One year of experience equivalent to the [GS-7] grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate [all of] the KSAs below:
  • Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
  • Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
  • Ability to provide briefings, orientations, staff development, and training in a patient support setting.
  • Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
  • Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
Preferred Experience: 1 - 2 years of supervisory experience and/or lead experience

The actual grade at which an applicant may be selected for this vacancy is GS-08.

Physical Requirements: The work is primarily sedentary. Works extensively in the hospital computer systems It occasionally requires carrying light objects such as files, books, and papers. No special physical demands are required to perform the work.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
