Summary

This position is within the Veterans Transportation Program (VTP)/Beneficiary Travel (BT) department, located at either the Portland, Oregon VA Medical Center and/or the Vancouver, Washington VA Medical Center. This position provides program administrative and technical assistance in day-to-day Beneficiary Travel operations, performs program planning, and completes special projects as assigned.

Beneficiary Travel is a very robust program at VAPORHCS. As a department, we continually instruct hospital staff, Veterans, and their representatives how to use the Beneficiary Travel system. We are looking for Team Players who maintain a positive attitude and interaction with internal and external customers.

Duties may include but are not limited to the following:

  • Utilizes various software applications to accurately determine and/or verify Veteran eligibility and amount owed for travel reimbursement;
  • Reviews clinical requests for transportation and determines best mode of transportation i.e. VTS, common carrier or special mode based on cost effectiveness and patient medical needs;
  • Arranges all modes of transportation via Veterans Transportation Service (VTS), air ambulance, commercial air, taxi, ambulance, bus and/or independent transports.
  • Assesses the status of the Beneficiary Travel program through the use of quality assurance measurement tools to ensure compliance with existing directives, guidelines, and regulations;
  • Corresponds with physician, traveler, and vendor to determine the most dependable and economical mode of transportation;
  • Prepares appropriate documentation and/or scheduling for traveler according to government transportation availability, government rates or substantial rates;
  • Reviews requests for reimbursement of travel costs;
  • Reconciles vouchers against authorizations for accuracy;
  • Assists team members, staff, Veterans, and others when questions arise;
  • Handles conflict and problems in dealing with customers constructively and appropriately;
  • Collects, organizes, tracks, and counts all beneficiary travel reimbursement forms; and
  • Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8-hour shift between 7:00am and 4:30pm, at the discretion of the service. You may occasionally be required to work and travel between locations for training.

Qualifications


TO QUALIFY FOR THIS POSITION AT THE GS-06 GRADE LEVEL, APPLICANTS MUST MEET THE FOLLOWING CRITERIA:

SPECIALIZED EXPERIENCE: You must have at least one (1) full year of specialized experience that equipped you with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the Transportation Assistant position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-05) in the Federal service. Specialized experience includes determining eligibility for a travel program; coordinating travel and arranging all modes of transportation; receiving, reviewing, and verifying requests for travel and reimbursement of travel costs; controlling and maintaining accounting records; and utilizing various software applications to complete office automation duties.
NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. A full year of work is considered to be 35-40 hours of work per week.
