Incumbent serves as an Executive Assistant performing a variety of administrative and office duties by assisting with planning, management, and direction of the organization. Manages multiple and varying assignments with limited direction by applying experience and advanced knowledge of administrative and management policies, practices, and processes to support established missions and goals of the organization.
Independently manages time and completes tasks within established schedules. Proactively identifies, plans, and organizes available resources to accomplish duties and provides guidance to less experienced staff as needed. Coordinates with and assigns tasks to personnel across AXE on behalf of the Executive Director.
Works within the office and across organizational lines to obtain information and provide advice or assistance on a variety of projects, policies, issues, and initiatives. Work activities often involve multiple organizational units, Divisions, other Lines of Business or Staff Offices and other government agencies; products often must be coordinated, merged and edited into senior level final products.
Collects and analyzes data, information and intelligence, conducts research, applies policies and procedures, identifies problems, and works with internal and external stakeholders on a daily basis. Incumbent has considerable discretion to identify solutions, initiate corrective or preventative measures, make recommendations and is expected to resolve most issues without assistance.
Responsible for educating staff of changes in administrative policies, establishment of new procedures to ensure consistency throughout the organization and keep senior leadership informed of changes in policies and procedures. Receives visitors, electronic mail, and incoming telephone calls. Analyzes stakeholder concerns and refers them to appropriate personnel.
Receives, reviews, assigns, and tracks deadlines for a variety of incoming documents and reviews complex, time sensitive responses for content and accuracy. Receives confidential and classified documents and sensitive information for processing in accordance with established policies or internal procedures. Ensures appropriate safeguards are established for personnel selections, executive or management decisions, political issues, and other emergency or Personal Identifiable Information (PII) related information.
Ensures outgoing correspondence adheres to FAA writing and branding standards and are a positive reflection of the organization prior to review by the Executive Director. Applies experience and advanced knowledge of grammar, writing, editing practices, and appropriate style requirements to prepare and review management reports, presentations, and/or contractual documents for clarity ensuring they meet the needs of the intended audience.
Manages the Executive Director's schedule and electronic mail to organize daily activities, gathers information to build, review, coordinate and disseminate executive level briefings. Ensures read ahead materials are accurate and timely. Develops and maintains a tracking system for all action items ensuring deadlines are met. Coordinates and schedules internal meetings, prepares and distributes agendas, records and distributes meeting minutes, maintains an historical record of meeting minutes.
Assists with developing products in support of Management and Program Analysts regarding budget, administrative support, staffing, and training. Makes all foreign and domestic travel arrangements, for the Executive Director, such as: coordinating the itinerary; securing hotel reservations, obtain pertinent contact information of officials to be visited, prepares and submits travel voucher per travel policy.
To qualify for this position you must demonstrate in your application that you possess at least one year of specialized experience equivalent to the FV-G, FG/GS-10/11 level. This experience is typically related to the line of work of the position to be filled and which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position. To be creditable, specialized experience must have been at least equivalent to the next lower level in the normal line of progression for the occupation in the organization.
